Salary Range

$79,380-$97,200 Yearly at the A07.1 level

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting; pay will not be below any applicable local minimum wage. An employee's position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.


Job Description

We're looking for an Employee Tuition Assistance Program Coordinator for the Laboratory's Employee Tuition Assistance Program (ETAP) that continues to grow to meet the educational needs of the organization. Under minimal supervision, you will perform a full range of complex and difficult administrative assignments in a dynamic and fast-paced environment with frequent interruptions and conflicting priorities which require independent judgment and follow through by participating with the team in updating system requirements/technology and creating new processes to streamline administrative/logistical tasks to support the increased scope. This position is in the Benefits & Compensation organization within the Human Resources Directorate.

This position offers a hybrid schedule, blending in-person and virtual presence. You will have the flexibility to work from home one or more days per week.

You will:

  • Partner and maintain relationships with multiple education institutions. Participate in developing solutions for problems and issues. Research data and analyze results.
  • Coordinate small to medium scale projects including timeline planning and estimating resources; such as yearly academic information sessions, writing articles, college Lunch & Learns, LLNL and college fairs, the Annual Recognition Program, and other types of conferences/meetings.
  • Respond to questions and resolve day-to-day service problems by selecting from a variety of options and interpreting/explaining procedures, guidelines and manuals. Be the main point of contact for ServiceNow tickets.
  • Working across functional areas, to prepare, distribute, and manage yearly graduate student survey and assist with the yearly student/directorate/financial Workforce Report.
  • Schedule, advertise and create agendas for a variety of meetings. Provide quarterly reporting and monthly invoicing for subcontracts and partnerships.
  • Identify and communicate project deliverable expectations and resource needs so that team members understand task assignments and effort requirements.
  • Make decisions regarding day-to-day procedures and make recommendations for process improvements.
  • Maintain ETAP website; coordinate program advertising on internal websites.
  • Perform other duties as assigned.

Qualifications
  • Experience coordinating work activities, workflow and processes for a service operations/customer service area.
  • Knowledge of industry practices of a service operations area gained through related jobs. Familiar with industry standards, processes, and systems and development of business processes in support of the service operations area.
  • Knowledge of business planning and tracking tools.
  • Experience collecting, tracking and reporting performance data.
  • Experience working under minimal supervision, in a multitasking environment of rapidly changing priorities, deadlines, and frequent interruptions.
  • Demonstrated advanced communication and interpersonal skills necessary to clearly articulate ideas, interact effectively with a diverse workforce and represent the organization with all levels of management, internal and external to the Laboratory, using tact, diplomacy, and discretion.
  • Advanced computer skills and experience with Microsoft Office Suite and database, calendaring software and the ability to learn new software quickly.

Security Clearance

None required.However, if your assignment is longer than 179 days cumulatively within a calendar year, you must go through the Personal Identity Verification process. Sensitive Compartmented Information Facilities requireseparate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
