DEPARTMENT OVERVIEW

The Division of Undergraduate Education (UE) is a complex organization comprised of Campus Advising Coordination, Summer Session, Colleges Academic (Cowell, Stevenson, Crown, Merrill, Kresge, Oakes, Porter, Rachel Carson, College Nine, and Lewis), Enrollment Management (Undergraduate Admissions, Orientation Programs, and Financial Aid), Registrar and the Educational Partnership Center (EPC General, EAOP, K-12 Regional Alliances, Research & Evaluation, K-12 STEM, MESA, CAL-SOAP, CRLP, and GEAR-UP). The division has a budget of $30 million and is comprised of more than 800 staff, students, and faculty personnel, each one of whom helps students to be successful.

The Academic Integrity Office (AIO) will reimagine the university's approach to academic ethics, with a focus on student-centered learning, mentorship, and restorative justice. The establishment of the AIO represents an opportunity for a transformational improvement toward the following key goals: (1) Provide student-centered education with an emphasis on ethical behavior and the principles of restorative justice. (2) Improve the student experience with a single point of contact and centralized case management for academic integrity violation reports. Engage students through peer mentoring opportunities. (3) Reduced workload for faculty and staff. (4) Establish best practices for faculty in promoting academic integrity in the classroom and technologies that proliferate instances of academic misconduct. (5) Build and grow partnerships on campus and systemwide. The Academic Integrity Office provides leadership on strategies and initiatives to support integrity and ethics within the University's teaching and learning profile through integrity-related curricular innovations and partnerships with a wide array of departments and faculty.

JOB SUMMARY

Under the general supervision of the Director, the Academic Integrity Office (AIO) Case Coordinator will be responsible for managing suspected academic integrity violation cases, interfacing with faculty who report cases, and meeting with students to resolve cases. This position requires self-direction, analytical skills, attention to detail as well as the ability to facilitate difficult conversations and to hold others accountable with empathy. In addition to leading AI Office efforts as the expert user of Simplicity Advocate database management system, the Case Coordinator regularly organizes and maintains academic integrity policy and process statistics to ensure transparency, confidentiality of records, and timely reporting, and communicates and collaborates with partners across campus to consult, advise, and assist community members in applying and interpreting the Policy. Further, the Case Coordinator contributes to AIO education and outreach, including events, publications, and web-based content to increase awareness within the campus community regarding academic integrity policy, process, principles, and practices.

APPOINTMENT INFORMATION

Budgeted Salary: $71,600 - $84,000 / Annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

45% - Academic integrity policy and process coordination

  • Ensures that cases get resolved according to policy timelines and that AIO database accurately reflects the status of each case under review. Confidentially and sensitively communicates evidence and other case data to relevant stakeholders.
    Serves as the initial point of contact for AIO by responding to emails, issues, and questions as they arise on behalf of AIO, independently determining whether/when problems can be resolved with available information, if they need to be escalated, or when additional details are needed.
  • Impartially enforces resolution procedure and facilitates clear communication between parties (including but not limited to reported students, their advisors, reporting instructors, and College Provosts), ensuring due process and neutrality.
  • Manages and coordinates documents relevant to the academic integrity resolution process on behalf of AIO; stays up-to-date, versed, and confident across campus as well as applicable UC system-wide policies and regulations.

25% - Records, retention, and reporting

  • Applies professional or research concepts to analyze data/systems pertaining to moderately complex projects, policies, initiatives, processes, and functions. Provides a variety of analytical duties in support of the AIO.
    Works closely with sensitive, confidential information and correspondence regarding AIO programs and services. Follows applicable FERPA and legal guidance in handling, disclosing, maintaining educational/disciplinary records.
  • Using subject matter knowledge and technical database skills, collects, compiles, and prepares information for use in internal AIO discussions, meetings with campus partners and/or external stakeholders, and annual reporting. Performs analytical studies about a variety of policies, research initiatives, programs, or issues.
  • Tracks annual office caseload by case type, compiling for longitudinal analysis year to year and organizing AIO activities around competitive assessments or benchmarking. Updates, monitors, generates reports regarding information in AIO database.

20% - Academic integrity advising for student success

  • Conducts initial intake meetings with reported students, advising and counseling on applicable rights and responsibilities, due process, and procedural timelines. Manages assigned caseload.
    Proactively meets with students to assess needs, risks, and remedies, exercising professional judgment in making referrals to campus partners; disseminates best practices to help students reduce risk and demonstrates due diligence in avoiding integrity violations.
  • Using knowledge of professional counseling/advising techniques, adapts content to learning styles, academic acculturation, or language background(s) of relevant individuals and groups.
  • Exercises good judgment, innovation, and professional approaches, acting with a high degree of autonomy in solving problems, making decisions, and managing conflict.

10% - Campus collaboration, outreach, and planning

  • Consults and collaborates with members of the campus community to raise awareness of AIO presence and expertise, and increase understanding of academic integrity principles, policies, procedures.
    Participates in administrative or research policy and program project planning. Recommends actions to address systems issues that arise in integrity policy or process.
  • May attend meetings with UCSC divisions and departments as invited to represent the Office regarding topics such as reporting and statistics, subject-specific academic integrity concerns, dishonesty prevention, etc.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in Education, Student Affairs, Education Policy, Counseling, or a related field; or equivalent combination of education and work experience.
  • Highly effective verbal communication, including active listening, critical thinking and reasoning, and strong ability to show tact and diplomacy while interacting with various constituents such as students, staff, and faculty.
  • Proficient computer skills and demonstrated ability to learn new systems such as databases, spreadsheets, calendaring, and/or case management software while working independently, following through on projects with minimal direction, and maintaining attention to detail.
  • Ability to work collaboratively as part of a small and growing team, where frequent communication, planning, and cross-training is expected but team members lead and complete their own projects in assigned areas of expertise.

PREFERRED QUALIFICATIONS

  • Master's degree in Education, Student Affairs, Education Policy, Counseling, or a related field; or equivalent combination of education and work experience.
  • Demonstrated knowledge and experience developing trainings for or supervising students in an academic setting or related setting.
  • Demonstrated conflict resolution skills and experience applying restorative justice practices in an academic setting or related field.
  • Professional experience with academic misconduct/integrity case management, including interpreting and applying policies and procedures, processing cases with Symplicity Advocate or similar software; and/or equivalent, transferable experience in a related field.
  • Knowledge of program development, data gathering, assessment, and evaluation skills, especially as relates to academic curricula.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Selected candidate must pass the employment misconduct disclosure process.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
