Position Description:
As a Philanthropy Program Coordinator in Institutional Advancement you will provide professional support to the MCW Office of Institutional Advancement and Froedtert Hospital Foundation, providing project management and administrative support to advance philanthropic productivity. Primary Functions
- Support Assistant Vice President of Philanthropy, Managing Senior Director of Philanthropy, and other OIA leaders, gift officers and development liaisons in furthering benefactor relationships and philanthropic productivity.
- Assist in the planning and execution of benefactor meetings, including participant scheduling, room reservations, A/V setup, catering, materials preparation, and related duties.
- Draft and edit correspondence to prospects, donors, board members, alumni, faculty, and staff.
- Compose strategy sheets, briefing documents, and contact reports.
- Properly record information about prospects/donors using Raiser's Edge database. Ensure key donor information is properly captured in donor record.
- Run key financial and donor data reports to assist philanthropy team in analyzing donor data and moves management.
- Assist with travel planning and expense reports.
- Work with Institutional Advancement leadership to provide communication, training and educational resources for gift officer team.
- Organize team meetings and retreats, including agenda planning, room reservations, A/V setup, catering, participant scheduling, materials preparation, and related duties.
- Compose and maintain professional resources and reference documents for gift officer team.
- Supports communication and sharing of information across gift officer team.
- Facilitate gift officer orientation and onboarding.
- Provide project management for routine and special initiatives
- Execute projects and special assignments in collaboration with OIA internal teams.
- Coordinate and contribute to communications and reports for executive and external audiences.
- Identify, research and mobilize appropriate resources to provide project deliverables.
- Administrative functions include:
- Maintain project schedules including tracking deadlines, milestones, and due dates.
- Monitor resources and track expenditures and prepare expense reports.
- Maintain departmental files, process invoices, write PO's, inventory materials/office supplies and perform usual routine office duties.
- Prepare reports, presentations and communications using Microsoft Office platforms (Excel, Word, PowerPoint, etc.), answer phones, complete gift receipt forms, type reports and perform data entry.
- Serve as a point-of-contact for philanthropy inquiries from external constituents to main OIA office phone line and email address.
Knowledge - Skills - Abilities
- Excellent oral and written communication skills are essential.
- Experience working on meetings and events requiring attention to detail and working with high-profile community volunteers and leaders.
- Understanding of and adherence to confidentiality issues.
- Strong technological aptitude with advanced skills using Microsoft Word and Excel and fundraising software, preferably Raisers Edge.
- Knowledge of Desktop/web publishing software preferred.
- Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management.
- Organization, time management, interpersonal, communication, and problem-solving skills.
