As the largest self-supported food service department in North Texas, UNT Dining Services is setting the standard for campus dining. With five Dining Halls, more than 20 retail locations, an upscale restaurant, a hydroponic garden, a central scratch bakery, and full-service catering, the department is led by a team of professionally trained chefs and hospitality experts. UNT Dining Services is home to Mean Greens Cafe, the nation's first 100% vegan collegiate dining hall, and Kitchen West, Texas' first and only university dining hall certified Free From the Big 8 food allergens and gluten. In 2021, UNT introduced Eagle Landing, the university's first standalone dining hall, inspired by urban food halls and featuring seven distinct restaurant concepts-all available for a single Meal Plan swipe.

Recognized for excellence, UNT was ranked No. 2 nationwide for best college food by Delish.com. The department is also the proud recipient of the prestigious Loyal E. Position Overview

The University of North Texas Dining Services is seeking an organized and customer-focused Office Support Administrator to support our catering operations. This role is essential to ensuring efficient day-to-day operations and excellent service delivery through administrative coordination, student hiring, scheduling, and client support.

Key Responsibilities:

Catering Operations Support:
Manage catering orders using Catertrax, update Banquet Event Orders (BEOs), assist with billing, and communicate with clients. Maintain working knowledge of Verde Catering and Food-to-Go menus.

Student Hiring & Scheduling:
Coordinate the hiring process for student employees, including application review, interviews, onboarding, and compliance documentation. Schedule student staff for catering shifts and events to ensure coverage and control labor costs.

Customer Service:
Serve as a key point of contact for internal departments and clients to ensure seamless communication and customer satisfaction.

Administrative Coordination:
Collaborate across departments including HR and Dining Administration to streamline processes, reduce service disruptions, and support overall catering success.

Minimum Qualifications

High school diploma and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.

Knowledge, Skills and Abilities

Advanced customer service skills. Knowledge of Microsoft Office. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function.

Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

Strong organizational and communication skills

Experience with administrative support, scheduling, or catering services

Familiarity with Catertrax or similar systems (preferred)

Customer service experience and attention to detail Some food beverage knowledge preferred.

Job Duties



  • Maintain records for time and attendance for staff. Follow standards as indicated. Facilitate adherence to the time, attendance, uniform and follow ups if violation occurs.
  • Conduct department orientation for all new hire. Emphasize department policies, procedures and standards.
  • Gather all pertinent details for each event by understanding different types of events. Ex. Breakfast, lunch, breaks, cook outs etc.
  • Be able to ask relevant questions through understanding of event types. These questions are to include but not limited to guests budgetary restraints, program needs and desired results from the guests perspective.
  • Have knowledge of the product availability and where to source from and related question. Ask DOCs assistance as needed.
  • Be able to understand the menu and actively recommend food and beverage with the help of peers and in accordance with the departments policies and guidelines.
  • Know other elements needed to execute events. This includes but not limited to tables required, linens, centerpieces, rooms availability, program agenda and other venue specific information.
  • Know the fine prints in Catretrax of policies in order to make correct recommendations to the guests and clients.
  • Be able to generate accurate BEOs based on information gathered.
  • Attend BEOs meeting, organize and update information provided in the BEOs, maintain BEOs folder. Send out daily BEO updates and SOS packet.
  • Solicit feedback as to the success of each event serviced.
  • Answer phone calls with professional salutation and demeanor
  • Create weekly schedules with the help and supervision of DOC. Enter shifts into Microsoft Teams according to the needs of the event. Report location to be communicated with schedules . Utilize Microsoft Teams to ensure class schedules are followed
  • Update schedules to reflect changes and updates from clients and guest daily. Trade board and time off requests to be updated daily.
  • Assign shifts to the staff according to experience and ability. Maintain proficiency level charts with input from Catering Managers.
  • Coordinate, facilitate and conduct interviews for the department with the supervision of DOC.
  • Follow up and track applicant flow through the entire hiring process and ensure all steps are followed.
  • Complete assigned tasks in a timely manner.
