Job Description:

Airbus Americas Engineering is looking for a Program Specialist/Team Assistant to join our team in Wichita, Kansas.

In this challenging yet rewarding role, you will contribute to the success of the Airbus Americas Engineering team by performing various duties to ensure efficient business management. Your tasks will include communicating, coordinating team actions, supporting data analytics and providing support to the leadership team. You will also assist with time-consuming, ever-evolving, open-ended tasks that do not require engineering judgment.

Your Working Environment:

Located on the Wichita State University (WSU) innovation campus is Airbus' first dedicated engineering facility outside of Europe. Our team of 200+ support staff and engineers focus on aero-structure design including analysis of aircraft primary structures, such as wings and fuselages, for all major Airbus products across the globe.

Your Challenges:

Develop and implement monitoring systems - 40%

  • Build and maintain dashboards and reporting tools to visualize progress

  • Collect and input team data into reporting tools to support analysis of KPIs

  • Define and release overtime memos to support cost control

Document Search and Storage - 25%

  • Search for technical documents in different program relevant databases.

  • Release documents into the ADS/EDS Database System.

  • Provide the engineering team with the appropriate technical document templates.

  • Support various engineering database system operations and processes.

  • Support Functional Review Process and Design Dataset releases.

Document Maintenance - 25%

  • Initiate engineering documents by creating issue/reference numbers.

  • Review technical documents for appropriate format, grammar, and syntax.

  • Revise technical documents according to document mark-ups.

  • Prepare and route documents for signatures when ready for release.

  • Create Adobe PDF files of current documents.

  • Electronically scan documents into the appropriate libraries.

  • Coordinate drawing distribution.

Supplier Communication - 5%

  • Create coordination memos for data transfer with suppliers

  • Maintain communication log between Airbus and supplier to support export control requirements

Additional Responsibilities: - 5%

  • Audit and verify Technical Signature Delegations

Your Boarding Pass:

  • Possess an Associates degree in Business or lesser education with relevant experience

  • A minimum of 7 years of experience in Administrative Support

  • Proficiency with MS Office (Word, Excel) and expert user of G-Suite programs

  • Effectively work both independently and with people from a broad variety of backgrounds and experience.

  • Ability to excel in a detail oriented environment

  • Able to coordinate, plan and follow up on projects, tasks and action items.

  • Able to analyze and problem solve

  • Capable of adapting to new tools and situations

  • Strong interpersonal skills and the ability to build effective working relationships with internal and external stakeholders.

  • Strong verbal and written communication skills and the ability to speak effectively and easily with both internal and external parties.

Preferred Education/Skills:

  • Bachelor in Business Administration or Engineering Technology

Physical Requirements:

  • Onsite or remote: 100% Onsite.

  • Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings.

  • Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms.

  • Speaking: able to speak in conversations and meetings, deliver information and participate in communications.

  • Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts.

  • Carrying: able to carry documents, tools, drawings, electronic equipment up to 30lbs/14kgs at least several times a month.

  • Lifting: able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs at least several times a month.

  • Pushing / Pulling: able to push and pull small office furniture and some equipment and tools at least several times a month.

  • Sitting: able to sit for long periods of time in meetings, working on the computer.

  • Squatting / Kneeling: able to squat or kneel to retrieve or replace items stored on low shelving.

  • Standing: able to stand for discussions in offices or on the production floor.

  • Travel: able to travel independently and at short notice.

  • Walking (include routine walking such as to a shared printer to retrieve documents): able to walk through office and production areas including uneven surfaces.

  • Personal Protective Equipment required: Required PPE includes, but is not limited to, Safety Shoes, Safety Glasses, Hearing Protection, Respirators/Masks, and/or Protective Gloves as required by site and/or customer site.

  • Administrative position only PPE required: Steel-toed shoes are required for all shop floor visits, appropriate hearing/eye protection may also be required when visiting the shop floor.

This position requires that the job holder be a US Person under ITAR definition (i.e. U.S. Citizen, green card holder or person covered under our existing ITAR license)
