TThe Senior Administrative Coordinator performs high level administrative and project support to the assigned manager (typically Director or above) and the respective members / teams that report into this position.

This role requires strong organizational, communication, and project management skills to ensure smooth execution of administrative operations.

Essential Functions

  • Provide proactive, day-to-day administrative support with minimal supervision, managing calendars, scheduling meetings, coordinating logistics, and arranging domestic and international travel.
  • Prepare and submit expense reports, reconcile international transactions, process invoices, assist with purchase orders, and manage contracts and master service agreements in compliance with global policies.
  • Support strategic administrative initiatives and contribute to process improvements across the organization.
  • Maintain organized data and file management systems to ensure accuracy and accessibility.
  • Collaborate with administrative staff across departments to support broader team goals.
  • Provide backup support to the Senior Site Administrative Coordinator for office management, site services and operations.
  • Serve as an Eisai ambassador for Japanese expatriates and visitors, coordinating logistics, housing, and transportation needs with cultural sensitivity and awareness; understanding of Japanese culture is preferred.
  • Demonstrate professionalism and cultural awareness when interacting with global teams and stakeholders.

Requirements

  • High School diploma or equivalent required; post-secondary education preferred.
  • Minimum of 5 years of experience in advanced administrative support roles.
  • Strong organizational, time management, and attention-to-detail skills.
  • Excellent written and verbal communication abilities.
  • Proven ability to work independently and handle confidential information with discretion.
  • Demonstrated cultural awareness and ability to communicate effectively across global teams and time zones.
  • Flexible and adaptable to shifting priorities and deadlines.
  • Collaborative team player with cross-functional experience.
  • Customer-focused with a proactive approach to stakeholder support.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint).
  • Quick learner with the ability to adopt and utilize new software and technologies.
  • Ability to work onsite Tuesday-Thursday required.

Eisai Salary Transparency Language:

The hourly rate for the Sr Administrative Coordinator is from :35-46 Under current guidelines, this position is eligible to participate in : Eisai Inc. Annual Incentive Plan.

Final pay determinations will depend on various factors including but not limited to experience level, education, knowledge, and skills.
