About the Job

The School of Public Health division of Health Policy and Management is seeking applications for a full-time Operations Specialist (8208A1 Admin Assoc 1) to join the Master of Healthcare Administration (MHA) program team.

Starting Salary Range: $50,000 to $63,000 annually dependent upon the selected candidate's relevant qualifications, experience, and internal equity.

Work Arrangements: The University of Minnesota endorses a "Work. This position is in-person 4 days per week during the academic year and 75% virtual during the summer months, with the expectation of being on campus during summer student events. Work arrangements will be discussed during the interview. Onsite location: Mayo Memorial Building 420 Delaware St SE, East Bank TC Campus

Position Summary
This position leads operational support for the MHA program, serving both the Residential and Executive tracks. The incumbent will assist with student activities, events, and projects led by the leadership team and operations lead. Responsibilities include supporting student recruiting, admissions, student services programming, and contributing to the development of a high-quality student experience.

Event Support - 40%

  • Support the development and execution of all student event functions as directed by team leads.
  • Serve as an active team member in organizing student and recruiting events, including: interview days, admitted student days, orientation, career fairs, guest lectures, and professional development programming.
  • Tasks include securing spaces, ordering food, tracking and communicating event details to relevant team members and participants, coordinating technology, and supporting day-of event logistics.
  • Create and maintain workflows for events and major projects for the team.
  • Support the planning and execution of Executive on-campus sessions.
  • Coordinate faculty and student travel for conferences and case competitions, as needed.
  • Provide support for alumni and student events, as needed.
  • Coordinate case competitions, including communication of the application process and travel/reimbursement logistics.
  • Support event communications for the program, including invitations and social media promotion.
  • Collaborate with Student Board Leadership and the Graduate Program Coordinator (GPC) to maintain an up-to-date list of student board activities and meeting dates.
  • Assist leadership in preparing agendas for monthly faculty meetings; coordinate meeting dates, times, and locations; communicate details with MHA faculty; take meeting minutes; maintain workflow communications; and archive meeting minutes and action items.

Financial Support - 35%

  • Develop and distribute communications to students regarding reimbursement processes.
  • Meet with students (virtually or in-person) to provide guidance and best practices for reimbursement or professional development stipend requests.
  • Process reimbursements for students and faculty.

Office Management - 25%

  • Oversee day-to-day office operations, including coordinating card access to student study spaces.
  • Assist with MHA program website maintenance.
  • Create and maintain student calendars and email groups for the program.
  • Staff the front office suite and order supplies, as needed.
  • Manage the Program Director's Letter of Recommendation process.
  • Provide project coordination support for the Leadership team.
  • Organize documentation and maintain Google Drive structure for the program.
  • Support on-campus course delivery, including assisting with faculty technology needs.

  • BA/BS or a combination of related education and work experience to equal 4 years.

Pay and Benefits

Pay Range: $24.04 - $30.29 ($50,000 - $63,000); depending on education/qualifications/experience

Time Appointment Category: 75%-100% Appointment (If job description above does not specify appointment or expected weekly hours, assume a 100% appointment.)
