Human Resources Coordinator


General Summary

This position will be exposed to all human resources procedures and assists with tasks throughout all areas of the HR department. In addition to project support, assisting in the planning, scheduling, and execution of project tasks, the HR Coordinator assists with guiding employees through various human resource processes, answering any questions they may have about policies and handling any problems or questions. The position also has an active role in ensuring all human resource functions are complying with local, state, and federal regulations.


Essential Duties & Responsibilities


  • Coordinates temporary staffing by clarifying requests for temporary personnel; contacts appropriate vendor; coordinates interviews as necessary; confirms pay rate; ensures pre-placement requirements are met. Will coordinate with IT, EHS, Security as appropriate for the position. Facilitates invoice payment; monitors assignment length and closes out the temporary assignment when the assignment is finished. Will facilitate the conversion-to-hire process if necessary.
  • General interview coordination, including developing interview schedules, working closely with technical staff and candidates as instructed. Complete vetting process for each individual coming on site. Ensure collateral materials are maintained.
  • Reconciliation of department purchase and travel cards at the end of each month.
  • Requisition and invoice management, including coordination and processing related materials for all HR, temporary staff and candidate transactions. Invoice processing completed on a weekly basis, ensures all candidate and staffing related invoices are submitted to accounting in a timely manner. Create new and monitor existing requisitions to ensure sufficient funds for HR vendors.
  • Employee data management in HRIS including data entry of all new hire transactions, such as (but not limited to) I-9, and educational skills / training. These transactions require a high degree of accuracy as the data creates the foundation for other department usage.
  • Complete data entry for all employees including creating job titles and enter new hires and job titles. Routinely audit data to ensure accurately entered. Generate PAF's for new hires and file promptly,
  • Send out pre-reminders for 6-month employee reviews.
  • Complete data entry related to performance management, including but not limited to: completing annual data entry of all HR-1 and HR-2 documents in Access data base. Provides update reports/basic analysis to Director and HR Generalists. Ensure documents are filed appropriately in a timely manner.
  • Completes all verification of employment, responding to inquiries as requested.
  • Manages travel for all interview candidates. Under guidance of Director negotiates corporate rates for local hotel vendors; coordinates travel arrangement for candidates to include airline, hotel and rental car reservations. Communicates with candidates directly and assist with any rescheduling or last-minute cancellations as necessary.
  • Prepare FedEx shipments as requested.
  • Administrative on-boarding assistance: Prepare Personnel Action Forms and personnel files for new employees.
  • Coordinate and host First Day Orientation including internal notification to process leaders, packet assembly and first day delivery of HR components.
  • Complete I-9 and E-Verify processes. Ensure any non-conformances are addressed within a three-day period.
  • Archive departing individual within the Learning Management System.
  • Develop, maintain, and update organizational charts.
  • Meeting Arrangements - provide support for training and other department meetings; coordinate meal delivery and assist with meeting room set up as needed.
  • Provide administrative support (filing, calendars, inventory/order/stocking supplies, meeting set up/clean up, lunch orders, etc.) as needed for department.
  • Performing other duties as needed and directed by Director of Human Resources.


Minimum Requirements/Qualifications


  • HS diploma required
  • 5 years of experience directly related to providing administrative support in an HR environment.
  • Working understanding of human resources principles, practices, and procedures.
  • Extensive typing/data entry experience.
  • Excellent interpersonal and customer service skills.
  • Excellent written and verbal communication skills.
  • Excellent organizational skills and attention to details.
  • Strong customer service skills and ability to work effectively with all levels within the organization.
  • Familiarity with HR databases, Applicant Tracking Systems (ATS), Candidate Management Systems (CMS), Human Resources information Systems (HRIS), and/or Human Resources Management Systems (HRMS).
  • Demonstrated ability to effectively utilizes MS Office (excel, word, PowerPoint) and HRIS.
  • Familiarity with training modules and learning management systems.
  • Ability to use sound judgment and critical thinking within defined practices and procedures.
  • Effective and assertive interpersonal skills essential.

  • BS in HR or related discipline
  • Ability to function well in a high-paced and at times stressful environment
  • SHRM or HRCI Certification
