for students, faculty, and staff. This position plays a key role in managing day-to-day office functions, maintaining accurate student records, and
responding to sensitive situations with professionalism, discretion, and a calm demeanor.

Key Job Responsibilities:
  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures

Position Summary:

The Dean of Students Office at the University of Wisconsin-Platteville is seeking applicants for a position as Administrative Assistant. This position will provide administrative support and services and operational support to the Dean of Students, Associate Dean of Students, Coordinator for Student Case Management, and the Prevention & Education Coordinator.

Strong applicants will possess excellent interpersonal skills, the ability to multitask, proficiency in the Microsoft Office Suite, and respect for and ability to maintain confidentiality.

This is a full-time position that is benefitandpaid leaveeligible. The wage for this role is $18.00 per hour, commensurate with experience.

Responsibilities:

  • Provide operational support and communication vital to maintaining the efficiency and effectiveness of the Dean of Students Office.

  • Make the Dean of Students Office suite a welcoming and helpful place for students and others.

  • Serve as a first point of contact for the Dean of Students Office, provide basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities.

  • Collect, analyze, and prepare various communication materials from established sources utilizing technology mediums.

  • Anticipate and provide documents/information/files needed by the Dean of Students Office staff, as requested.

  • Send, receive, copy, and distribute communications to the appropriate entities according to established policies and procedures under general supervision.

  • Provide administrative support and services to the Dean of Students Office staff.

  • Schedule logistics and secure resources for meetings, conferences, travel, and work unit operations.

  • Arrange meetings, prepare materials, take notes for distribution, and maintain accurate records as requested.

  • Provide assistance with budget management tasks within the Dean of Students Office as requested.

  • Maintain established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures.

  • Other duties as assigned.

What You'll Need to Succeed:

  • Proven experience in administrative support, customer service, or related field.

  • Strong interpersonal skills and ability to remain calm and composed in high-stress or sensitive situations.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software systems quickly.

  • Exceptional attention to detail, organizational skills, and ability to manage multiple priorities.

  • Experience working in a higher education setting.

  • Knowledge of student records management systems.

  • Familiarity with Title IX, student conduct, or campus safety processes.
