What you'll do and what you'll bring:

Position Function: Coordinate, manage, oversee, and perform functions related to University Dining meal and access card computer system to effect accurate, efficient, and functional dining meal card and access capabilities.

Duties & Responsibilities:

  • Coordinate and facilitate University Dining meal card service under firm deadlines for approximately 6,200 university students with the Department of Housing and Residence Life, the office of the university Information Systems Analyst and University Computing Services; requires a thorough understanding of CBORD and Micros Systems and the policies and procedures for all meal plans and the ability to explain such meal plans to parents, students and other university personnel in the effective manner and to answer their questions and inquiries; utilize information from the Office of Student Financial Services to turn off meal privileges for delinquent accounts and generate names for a standard letter to be sent notifying students that their meal privileges are being lifted.

  • Coordinate and facilitate meal card service under firm deadlines for approximately 550 Burris School lunch students with Burris School personnel, including but not limited to daily data input, daily reconciliation, collecting and safekeeping of school lunch funds, moving of monies to the appropriate dining services bookkeeper for depositing and vouchering; producing vouchers to request movement of funds from the Burris School lunch holding account to the appropriate Dining Service account; maintaining an effective working relationship with Burris School personnel, the office of Information Systems Analyst, and the Office of Student Financial Services and effecting an accurate, functional school lunch reporting system that meets requirements of the Indiana school lunch regulatory agency and provisions of the Memorandum of Understanding between Ball State University Dining and Burris School.

  • Maintain up to 700 off-campus patron files to be uploaded each fall and spring for off-campus meal plans. Under firm deadlines, add meal plans for 120 - 125 Housing and Residence Hall Directors for fall semester and Spring semester.

  • Coordinate and facilitate meal card services under firm deadlines for approximately 350 Indiana Academy students with Academy personnel, including but not limited to understanding the policies and procedures for the Academy meal plan system and the ability to explain the meal plan to students, parents, and university personnel in an effective manner; answer questions and inquiries; provide billing information for Academy guests to the appropriate Unit Manager.

  • Create and activate meal plan accounts under firm deadlines for guests, groups, conferences, and special events totaling over 15,000 patrons annually per contractual information from the Conferences and Special Events Office and the Assistant Directors of Dining; oversee and assist with the preparation and packaging of special meal cards for distribution along with instructions to leaders of groups; following their event(s), deactivate meal plans and reset system for future groups; inventory and order sufficient guest meal cards and related supplies to maintain an adequate supply without running out or overstocking. Create the billing for conferences and send to the bookkeeper within the appropriate time frame of the conference ending.

  • Perform end-of-the-month accounting procedures under firm deadlines, for University Dining, Conferences, Burris, Indiana Academy, including but not limited to maintaining and developing spreadsheet calendars for approximately 21 locations to track meal card patrons served per meal, per day and total per accounting month; calculating and preparing a report of patrons and revenues for dining units and preparing vouchers for the transfer of funds from the dining holding account to the appropriate dining locations to reimburse them for all meals eaten for the month; utilize revenue information from the University Dining Business Administrator for the report and work with them to question their information if it differs substantially from previous year reports; prepare monthly journal vouchers to charge Housing and Residence Life for Resident Assistant and Director meals.

  • Identify and work with Housing and Residence Life to resolve issues dealing with the off-campus meal plan portal through StarRez and resolve issues as reported by customers. Enter charges and credits as related to off-campus billing.

  • Document procedures, problems and resolutions, maintain an effective, harmonious working and communicating relationship with C-Bord/Micros, Dining personnel, University Information Systems Analyst, Information Systems office personnel, Office of Student Financial Services, Registrar's Office, Housing and Residence Life, and University Computing Services; ensure accuracy of the meal card system at all times.

  • Assist with training of management and employees in the setup, usage, and documentation of Micros point-of-sale system; assist in the writing and preparation of training manuals; add new users to the Micros system and assist with user maintenance and configuration.

  • Perform other related duties as assigned.

  • Maintain regular and predictable attendance.

Minimum Qualifications:

  • Associates degree from an accredited institution OR High School diploma plus additional combination of education or comparable job experience.

  • Up to three (3) years of direct or related work experience to include computer systems and customer experience with demonstrated leadership and dynamic team building skills.

  • Must possess skills in oral and written communication and be proficient in MS Word, MS Access and MS Excel.

  • Must possess strong analytical and problem-solving skills

Preferred Qualifications:

  • Bachelor's degree from an accredited institution.

  • Working knowledge of CBORD, GSGOLD Meal/Access Card system, Oracle Micros, computer operations, technical support, bookkeeping, and billing.

  • Advanced skills in oral and written communication.

  • Advanced analytical and problem-solving skills.
