ABOUT THE ROLE The Residential Gallery Sales Coordinator will work with the VP, Sales Operations to serve as the Concierge ambassador of Ward Village and the IBM building through registration, greeting, welcoming, and directing all arriving guests. What You Will Do
Provide guidance for guests and and assistance for deliveries, and/or groups. Follow the sequence of service checklist. Conduct product quality check of models and sales galleries; report all discrepancies or items for repair to respective persons; keep everything running smoothly. Manage the day-to-day distribution of leads and walk-in guests to a Sales Executive as per established Policy & Procedure. Provide, coordinate and assist with the welcome reception and/or beverage service for guests. Manage and check daily appointments to make sure there are no conflicts. Coordinate and communicate all upcoming guest appointments with necessary parties. Be aware of all the appointments, meetings, and construction in IBM or off-site residences for sale. Notify the team of any ongoing issues and work in each area. Communicate with Valet, cleaning, security, and maintenance team accordingly for any special requests or situations. Coordinate special requests, reservations, and activities for Sales Executive's prospects. Assist with preparation of sales collateral and take-away gifts for guests. Prepare and coordinate the delivery of the sales collateral. - condo docs and gifts. Manage the reservations, use, and maintenance schedule of equipment including GEM vehicles. Manage the hard hat tour equipment and use. Continuously identify potential areas for customer enhancements and improvements, aligned with the WV Sales & Marketing goals and objectives. Communicate with Ward Village Operations Staff regarding any special guests on property. Enhance security by being vigilant of activity on and around the property; report any suspicious activity to WV security. Provide support to EVP, National Condominium Sales & Strategy and VP Sales Operations by performing special assignments or tasks as needed (including but not limited to, filing, storage room organization, and restocking). Restock Sales Galleries each day with any necessary sales collateral and any other necessary sales support items. Restock floorplans in every unsold residence as needed. Must be available to work varied shifts any day of the week including weekends, evenings and holidays. Answer phones with WV tone of voice protocol; distribute phone in leads accordingly. Maintain phone messages for all active towers by daily review and testing. Open Galleries as indicated by the opening procedures checklist. Open and close off-site Model residences daily. Conduct a walk-through of sales galleries and Models to ensure all are in top condition; arrange for repairs and cleaning. Contact sales team members to announce a guest's arrival for scheduled tours/appointments/walk-ins. Ensure guests complete Registration with appropriate contact information and introduce the guest to Sales Executive. Ensure all registered are in Salesforce; provide a copy of the information to the assigned Sales Executive. Update accurate information in SF and other spreadsheets. Send daily reports to supervisors. Checkshared email boxesdaily for communication, new leads, and follow web lead procedure. Manage and update Lead Rotation daily based on Sales Executive's schedule Maintain an accurate Daily Lead, Walk-In Report and any other reports requested by the EVP, National Condominium Sales & Strategy and VP Sales Operations; ensure appropriate distribution is received by end of the business day. Monitor and maintain sufficient stock of concierge office supplies, including printing materials. Monitor and maintain sufficient stock for the welcome reception and beverage service. Maintain the WV concierge binder and all other pertinent listings. Ensure there is always a stock of broker packages available in the concierge drawer. Responsible for organization and cleanliness of closets, binders, storage, and kitchen. Make photocopies, scanning and put binders together for team members as required. Coordinate/arrange shipments on behalf of the sales department. Maintain a neat and organized work area. Other projects and duties as assigned. Act as a liaison between Residential Sales and other departments.

A minimum of 3 + years of customer service experience or related field. The candidate must possess exceptional communication skills, detail-oriented, and have the ability to manage projects and people Real Estate knowledge is a plus. This position requires multi-tasking, extensive organizational skills, and the ability to coordinate all aspects related to the strategic sales plan. Must have knowledge of Microsoft Office software products, including Excel and Word. Must be able to work in a team-oriented, fast-paced environment. The position requires excessive standing, frequent walking, and repetitive motions. Requires manual dexterity to use and operate all necessary equipment. Ability to safely lift to 30 lbs without injury. Project an approachable and professional image in personal appearance, manner, and demeanor. Bi-lingual skills preferred (Japanese, Korean, or Mandarin). Willing to learn new things with a positive attitude. Ability to find solutions by oneself and can communicate and report appropriately in a timely manner. Ability to follow detailed procedures for each task while imagining the big picture. Proof of authorization/eligibility to work in the U.S. High School diploma or equivalent; four-year degree preferred.
