The Wounded Warrior Project (WWP) Direct Mail Specialist plays a key role in ensuring financial accuracy, production tracking, and performance reporting for the organization's direct mail program. This individual collaborates closely with internal teams and external vendors to manage invoices, support campaign execution, and uphold budget integrity.

DUTIES & RESPONSIBILITIES

  • Assist in the planning, coordination, and execution of direct mail campaigns.

  • Reconcile invoices to jobs, ensuring each aligns with contract terms, approved quotes, and budget allocations.

  • Collaborate with vendors to manage logistics, data transfers/loads, proofing, and seedlist tracking for all direct mail campaigns.

  • Work closely with the Direct Marketing Communications Senior Specialist and the Direct Response Senior Data Analyst on campaign activities.

  • Track and maintain all invoices, postage statements, and related documentation with accuracy and timeliness.

  • Audit invoices and support financial compliance across all direct mail activities.

  • Review budget variance reports and align actuals with projections.

  • Monitor the Direct Mail annual budget, track expenses and revenue, and flag any deviations or emerging trends.

  • Generate monthly forecasts for the finance team and provide budget status updates to leadership.

  • Maintain comprehensive documentation and tracking of campaign details, including response metrics and performance data.

  • Collaborate with accounting and vendors to strengthen invoice workflows and improve external reporting accuracy.

  • Partner with the Direct Mail Director and finance team to systematize reporting, forecasting, and cost tracking.

  • Support testing strategies to optimize campaign effectiveness and inform future mailing decisions.

  • Create and maintain performance dashboards and campaign reports on a monthly, quarterly, and annual basis.

  • Provide data-informed recommendations to improve efficiency, performance, and budget adherence.

  • Resolve billing discrepancies directly with agencies and vendors, and escalate issues as needed.

  • Attend and actively participate in required training and/or meetings, including but not limited to New Teammate Orientation, WWP Cares, ASIST Suicide Prevention training, Leadership training, culture/team based training, or departmental huddles.

  • Other related duties as assigned.

KNOWLEDGE, SKILLS, & ABILITIES

  • Demonstrated knowledge of direct marketing and mail production workflows, including print production, invoicing, and campaign reporting.

  • Strong analytical skills with the ability to assess data, identify trends, resolve discrepancies, and recommend process improvements.

  • High attention to detail with strong financial reconciliation, documentation accuracy, and quality control skills.

  • Strong organizational and time management abilities; capable of managing multiple projects simultaneously in a fast-paced, deadline-driven environment.

  • Proven experience managing vendor relationships, including collaborating on billing accuracy, timelines, and reporting expectations.

  • Excellent verbal and written communication skills, with the ability to communicate clearly and professionally across teams and with external partners.

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).

  • Strong interpersonal skills, with the ability to develop and maintain effective professional relationships at all levels of the organization.

  • Proactive, self-motivated, and adaptable; able to work independently and within a collaborative team structure.

  • Demonstrated ability to take initiative, solve problems, and follow through on responsibilities with minimal supervision.

EXPERIENCE

Requirements

  • Three years of experience in print production, financial operations, or direct response fundraising.

  • Three years of experience managing vendor relationships.

Preferences

  • Experience working in a nonprofit environment, particularly in a direct marketing or fundraising capacity.

  • Familiarity with donor databases, invoice or financial tracking systems, or fundraising CRMs (e.g., Salesforce).

EDUCATION

Requirements

  • Bachelor's degree in marketing, communications, business, or related field. Equivalent combination of applicable education, training, certification, and experience may be considered in lieu of degree.
