Job Summary

Provides various administrative assistance functions for the GRI Associate Director of Collections & Discovery, focusing on the Paul Revere Williams, Black Portraitures and Kerry James Marshall projects. Responsibilities may include creating and editing communications, documents, reports, presentations, spreadsheets, scheduling, coordinating meetings or events, and assisting with travel arrangements.



Major Job Responsibilities

    Organizes and expedites workflow through the Associate Director's office, coordinating with other administrative departments and the Director's office.
  • Composes and produces a variety of business correspondence, reports, confidential documents, and/or forms, as well as related materials or guides the work of other staff who make these materials.
  • Assist with travel arrangements for special projects as needed.
  • As assigned, assist with coordinating department/program public relations functions, such as special events, conferences, seminars, workshops, staff appreciation, tribute events, etc.
  • Assists in the administration of contracts.


Qualifications

  • High school diploma/GED; Bachelor's degree in art history, African American studies, or a related field
  • Minimum 3-4 years of related experience
  • Advanced computer skills and demonstrated experience with office software and email applications.
  • Graphic design experience and skills are a plus, particularly in Adobe Creative Suite and familiarity with Gamma image software.
  • Excellent organizational skills and attention to detail
  • Demonstrated success in following through and completion of complex projects; project management and managerial skills are a plus
  • Excellent verbal and written communication skills
  • Excellent customer service skills and the ability to work with a wide variety of staff
  • Ability to prioritize, multitask, and assign work to others


Knowledge, Skills and Abilities

  • Strong communication skills
  • Ability to manage multiple projects in a timely manner
  • Proficiency in Microsoft Office and Adobe software suites preferred
