As aFacilities Coordinator II, you will provide excellent customer service in the management of facilities for our clients. Essential Duties and Responsibilities: Provide comprehensive administrative assistance to the Site Operations Team, including Workplace Services and Planning, Hard Services, Gaithersburg SHE (Safety, Health, and Environment), and Site Engagement etc. Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings. Multi-task effectively in a fast-paced and ever-changing work environment Prepare and edit correspondence, communications, presentations, and other documents. Serve as a liaison between the site operations team and internal/external stakeholders. Facilitate effective communication and coordination among team members and departments. Organize and coordinate meetings, including preparing agendas and taking minutes. Implement best practices and innovative solutions to enhance site operations support. Provide administrative support to senior leadership and team, not limited to calendar management and meeting planning. Onboard new site operations team members, ensuring all access requirements are met before the new hire's (FTEs & OSPs) are met prior to their arrival. Facilitate site orientation and tours ensuring new hires have a great experience. Provide any additional tasks as assigned. Skills Needed: Excellent ability to prioritize tasks and manage multiple responsibilities efficiently. Strong attention to detail and accuracy in documentation and reporting. Exceptional verbal and written communication skills. Ability to effectively communicate with team members, executives, and external stakeholders. Ability to work collaboratively in a team-oriented environment. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong analytical and problem-solving abilities. Excellent time management skills to handle competing priorities and meet deadlines. Ability to adapt to changing priorities and manage stress in a fast-paced environment. Strong focus on delivering high-quality service to internal and external customers. Ability to address and resolve service-related issues promptly.
