POSITION SUMMARY:

The Sales Order Coordinator plays a critical role in ensuring the efficient processing of sales orders, timely billing, and effective communication across departments. This position requires strong analytical skills, attention to detail, and the ability to collaborate with various teams to enhance order fulfillment processes. The ideal candidate will be proactive, organized, and committed to achieving departmental objectives.

PRIMARY RESPONSIBILITIES:

Sales Order Processing:

Processing Parts Orders and Delivery Notes to support,

  • External Service Providers (ESP)
  • Coordinators
  • Cruise Ships accounts
  • International accounts
  • Ensure that all parts orders are processed and delivered by deadlines.

Billing

  • Working cross functionally with finance and procurement to create invoices for lost or missing equipment under both customers and ESPs.
  • Provide and collect all necessary paperwork and ensure system updates are completed for timely billing of parts orders.
  • Submitting invoices into Cruise Ship online portals

Maintain shared email inbox and respond to emails within service level agreements

Collaboration and Continuous Improvement

  • Works collaboratively with internal and external partners (such as inventory coordinators, 3rd Party Warehouses, etc.) to ensure fulfillment of orders.
  • Contributes to the continuous improvement of the Order Fulfillment process in collaboration with the Center of Competence (CoC).

REQUIREMENTS AND MINIMUM EDUCATION LEVEL:

  • High School or G.E.D or technical school required

EXPERIENCE:

  • 1-2 years related experience and/or training; or equivalent combination of education and experience

SKILLS:

  • Excellent written and verbal communication skills
  • Well-organized, methodical thinker with excellent decision-making skills
  • Strong and creative problem-solving skills
  • Experience in Microsoft office applications (e.g. Word, Excel, Outlook)
  • Experience in SAP
  • Ability to work in a fast-paced environment and handle multiple priorities.
  • Ability to work independently with minimal supervision
