JOB DESCRIPTION AND POSITION REQUIREMENTS

Penn State Athletics is looking for a part time Operations Assistant to support the softball team. Responsibilities include:

Team Travel Coordination Support

  • Assist with the planning and execution of team travel logistics, including securing hotel accommodations, transportation, travel itineraries, and submitting meal request forms.

Daily Scheduling and Administrative Support

  • Manage and maintain the daily calendar for team activities, including practice schedules, meetings, and appointments. Coordinate facility reservations and communicate updates with coaches, staff, and student-athletes.

Practice and Game Day Operations

  • Provide operational support during practices and games, including setup and teardown of equipment.

Special Event Coordination

  • Assist with planning and execution of special events such as banquets, recruiting events, team retreats, senior day, and other program-hosted functions.

Community Relations & Outreach

  • Support the development and execution of community service initiatives, youth clinics, and outreach programs to enhance the program's presence and engagement within the local community.

Alumni Engagement

  • Maintain communication with alumni through newsletters, event invitations, and social media. Assist in organizing alumni events and managing alumni contact databases to strengthen long-term program relationships.

General Operational Duties

  • Provide day-to-day support to the Director of Operations and coaching staff, including inventory management, coordinating apparel/equipment orders, and assisting with compliance and administrative tasks as needed.

Applicant must pass Annual Compliance, Mandated Reporter trainings, as well as pass Pennsylvania mandated background checks. To be considered, applicant must apply online.

BACKGROUND CHECKS/CLEARANCES

This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check. This position requires that you operate a motor vehicle as a part of your job duties. A valid driver's license and successful completion of a motor vehicle records check will be required in addition to standard background checks.

Pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act and the Pennsylvania Act of 1988, Penn State publishes a combined Annual Security and Annual Fire Safety Report (ASR).
