ABOUT THE ROLE

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO and Board of Directors of a dynamic and fast-paced diversified holding company This role requires a high level of professionalism, discretion, and adaptability. You will act as the right hand to the CEO, helping manage day-to-day travel, scheduling, communications, and special projects across the organization.

What You Will Do

  • Maintain an extremely active calendar of appointments for the CEO, ensuring all meetings, events, and commitments are coordinated efficiently and without conflict.

  • Complete and process expense reports with accuracy and timeliness for the CEO adhering to company guidelines.

  • Arrange complex and detailed travel plans and itineraries for executive leadership and Board members, including logistics for both domestic and international travel.

  • Serve as delegate for CEO on approvals within multiple systems, ensuring timely processing of requests and maintaining compliance with company policies.

  • Coordinate, design, and negotiate costs for company holiday parties, overseeing all aspects from concept to successful event execution.

  • Manage and maintain the Board yearly calendar, update contact lists, and oversee the tracking and reconciliation of Board expenses.

  • Coordinate Board travel and logistics for Howard Hughes Master Planned Communities (MPC's) and Board meetings; attend events to manage on-site logistics and provide executive-level support.

  • Organize all logistics for special events such as the Waste Management PHX Open; attend and oversee event execution to ensure seamless operations.

  • Perform diverse administrative duties as requested, demonstrating flexibility and attention to detail in a fast-paced executive environment.

  • Handle sensitive information with the utmost confidentiality and professionalism.

  • Assist with personal tasks and errands, as needed, to support the executive.

  • Must have the ability to travel as needed.

Skills & Experience

  • 10+ years of experience as an executive assistant, preferably in real estate, financial services, or a related industry

  • Exceptional organizational and time management skills

  • Excellent written and verbal communication abilities

  • Strong problem-solving skills and attention to detail

  • Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello)

  • Ability to work independently and manage multiple priorities in a deadline-driven environment

  • Professional demeanor and ability to interact with high-level stakeholders
