Performs all secretarial and liaison responsibilities, along with coordinating all cardiac hospital procedures with pre-operative testing for the HVC outpatient practice. Serves as a liaison between referring physician offices, patients and in house staff to ensure procedures are scheduled and all required information for patient intake is received in a thorough and timely manner. Works directly with the hospital lab schedules, attending physicians/mid-level practitioners and the patient's individual needs. This is true for both inpatient and outpatient procedures.

Responsibilities

  • 1. Performs all secretarial and liaison responsibilities, along with coordinating all cardiac hospital procedures with pre-operative testing for the HVC outpatient practice. Serves as a liaison between referring physician offices, patients and in house staff to ensure procedures are scheduled and all required information for patient intake is received in a thorough and timely manner. Works directly with the hospital lab schedules, attending physicians/mid-level practitioners and the patient?s individual needs. This is true for both inpatient and outpatient procedures.
  • 2. Follows established protocols, works directly with patients to coordinate procedure and appointments and address their needs and concerns prior to having their procedures. Keeping physicians informed of all special request and give advance notification and reminder as necessary situations arise. Demonstrating flexibility by adapting to new and changing situation and duties based on Lab availability and patients schedules.Scheduling patients for diagnostic pre op testing and labs. Reviewing patients medication s and health history to determine pre procedure instructions. Being sure all orders are signed by physicians in a timely manner and placed on the hospital schedule correctly. Multitask and handle obstacles as they occur.
  • 3. Documentation required for cardiac procedures. Ensures the timely and complete competition f all patient medical records information, H& P, diagnostic labs, testing surgical reports, etc, are all scanned into Epic for MD review.
    Documentation medication instructions prior to procedure. Triaging phone calls throughout the day for providers, documenting symptoms, medication refill request, and questions to ensure patients issues are handled by RN or providers.
  • 4. Information Systems: Utilizes multiple (YNHH and Yale University) information systems to accurately enter and retrieve patient information required for electronic patient scheduling with a variety of care providers and the maintenance of accurate patient information.
  • 5. General Clerical Support: Performs general clerical functions to ensure accurate, prompt and effective scheduling.

Qualifications

EDUCATION

Associate's Degree in related field preferred. (2 yr. Vocational School helpful.) Medical Terminology required

EXPERIENCE

Minimum of three years experience in a clinical setting, preferably in an outpatient setting, required. 2-3 years of intensive phone and scheduling experience required. HVC procedural scheduling experience preferred. Epic experience preferred.

SPECIAL SKILLS

Working knowledge of medical terminology. Working knowledge of the patient scheduling process, and associated computer application, Epic, required. Excellent communication skills required. Excellent interpersonal skills; with ability to communicate with a variety of people using diplomacy, tact and sensitivity. Ability to work collaboratively with a multidisciplinary team. Ability to understand and independently follow established protocols regarding triage of patient schedules. Excellent organizational skills and problem solving tactics required.
