The Coordinator, Records & Registration coordinates Records and Registration services. Evaluates, analyzes, processes, and updates student records in support of Records & Registration and in conjunction with State and University rules.
Job Description Typical duties may include but are not limited to:
- Coordinates Records & Registration services in support of Student Success strategic goals.
- Evaluates, analyzes, processes, and updates student records in support of Records & Registration and in conjunction with State and University rules.
- Works collaboratively with administrators in the development, implementation, documentation, and enforcement of program policies and procedures.
- Creates implements, and evaluates, records and registration strategic goals to assess and report growth and effectiveness of the department to supervisor and appropriate stakeholders.
- Identifies opportunities for improvement that enables the program to achieve its strategic goals.
- Advises and collaborates with campus partners to provide students with resources, support, referral, and advocacy.
- Provides basic assistance in all areas of the office during peak periods.
- Provides information regarding policies and procedures related to record and registration services to students, the university community and the general public by telephone, e-mail or in person (FERPA, enrollment, graduation, records and document management, academic standing, registration, commencement, scheduling, certification, grades and GPAs, excess hours, etc.)
- Plans and coordinates graduation, events, seminars, presentations, and workshops that support Records and Registration strategic goals.
- Develops and maintains the department's publications, website, and social media presence.
- May recruit, hire, train, supervise, and evaluate OPS and part-time student employees. May maintain work schedules, timesheets, and payroll action forms.
- Collaborate with the Assistant Registrar for Student Records in processing degree conferral and ensuring the accurate and timely issuance of diplomas, contributing to the integrity of student academic records and graduation operations.
Other Duties:
- Evaluates and processes student requests for grade forgiveness in conjunction with State and University rules.
- Serves on department as well as cross-campus committees for special event planning and programming.
- Performs other job-related duties as assigned.
Additional Job Description Required Qualifications:
- This position requires either six years of directly related full-time experience or, as an alternative, a Bachelor's degree from an accredited institution in an appropriate area of specialization and two years of full-time experience directly related to the job functions.
- Professional full-time experience in records management in student records, patient records, public records, or related area.
- Experience operating a personal computer and proficient in Microsoft office (Word, Excel, and Outlook).
Preferred Qualifications:
- Master's Degree from an accredited institution in an appropriate area of specialization.
- Experience in records management in a higher education setting.
Knowledge, Skills, and Abilities:
- Knowledge of FERPA regulations for handling student records.
- Knowledge of University programs and policies and Florida State Board of Education policies and rules.
- Knowledge of or ability to learn student information systems (Banner).
- Excellent interpersonal, verbal and written communication skills.
- Strong organizational skills and an ability to prioritize and complete simultaneous projects within deadlines.
- Ability to effectively manage the work of others by providing information, guidance and motivation.
- Ability to interact in a professional manner with staff, faculty, students, and the community in a service-oriented environment.
- Ability to work successfully as both a member of a team and independently.
- Ability to take initiative to plan, organize, coordinate and perform work when numerous and competing demands are involved.
- Ability to think critically and creatively, have a high standard of integrity, and be motivated to incorporate best practices into the organizational structure.
- Ability to operate a personal computer with proficiency in Microsoft Office (Word, Excel, and Outlook).
