Job Summary

Under the general supervision of the Extramural Finance Manager, this position is responsible for the financial management, governance, and oversight of assigned funds and accounts. Responsible for providing high-level analytical and problem-solving support to the Department, Chief Administrative Officer, Extramural Finance Manager, Division Managers, and Principal Investigators in relation to base- and current-year budget allocations and fiscal matters of significant complexity.

Responsible for financial oversight, procedure development, and complex budget/financial management and federally mandated annual reporting for over 1,000 research projects with more than 200 PIs from the Department of Internal Medicine. Provides high-level fiscal, analytical, administrative, and policy/procedure support for the Department and assigned Divisions. Independently manages short- and long-term budget projections, financial oversight, and pre- and post-award grant management for complex awards associated with constituents inter-Campus, across other University Departments, Centers, Institutes, etc. #CA-SB

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in Finance, Accounting, or closely related field or equivalent experience and/or training.
  • Several years of previous experience in a substantially similar role required.
  • Financial and business management skills and experience to perform extensive in-depth budgetary and financial analyses.
  • Analytical skills to anticipate/identify problems, perform research to resolve such problems, and develop creative solutions.
  • Knowledge of generally accepted accounting principles with diverse fund restrictions, fund accounting, and research-related accounting.
  • Knowledge of budgetary cycles and practices, personnel/payroll practices, business agreements, and organizational policies and procedures.
  • Mathematical skills sufficient to accurately calculate, manipulate, and adjust data related to budgetary and financial activities.
  • Experience presenting, orally and in writing, complex administrative and technical issues and proposed solutions, including composing and editing documents and correspondence for accuracy, consistency of format, spelling and grammar, language, and professional appearance and style.
  • Experience using advanced features of MS Excel to perform detailed analyses, including Pivot tables, VLOOKUPs, and creating charts and graphs, as well as word processing, presentation, database, e-mail, and web-based software and automated online financial and payroll/personnel systems.
  • Learn, understand, and meet the Unit's professional and financial objectives and activities.

Preferred Qualifications

  • Master's degree in Finance, Accounting, or closely related field.
  • Experience handling sensitive or confidential information or situations.
  • Maintain strict confidentiality, exercise discretion, use independent and mature judgment, work efficiently with limited supervision, and commit to team-building, quality assurance, and process improvement.
  • Organizational skills sufficient to successfully assess, categorize, and work with large amounts of information and data.
  • Experience with UC Davis automated financial, personnel, and payroll systems: Kuali, FIS DS, CayuseSP, UCPath, Cognos, AggieBudget, AggieTravel, AggieBuy, etc.
  • Knowledge of research-related accounting, especially Federal accounting and reporting guidelines.
  • Knowledge of higher education research and fund accounting. Use oral and written communication skills to effectively interact with a diverse group of constituents professionally.
  • Maintain a positive and collaborative working relationship with all constituents, including, but not limited to, inter-departmental, Divisions, Dean's Office, co-workers, departmental PIs, and staff.
  • Willingness to adapt to changing administrative needs. Model professionalism, tact, and respectfulness at all times in communications with others.

The Department of Internal Medicine is the largest department in the School of Medicine and on the UC Davis campus. The department has 13 divisions organized by sub-specialty, with Administration managing finance and personnel functions. The department consists of more than 250 faculty, 90 other academic titles, 215 staff employees, and approximately 250 volunteer clinical professors.
