Description

ExamWorks is seeking aMail Machine Operatorto join our team in a role similar to a production machine operator.As a Mail Machine Operator, you'll be the go-to person for preparing our Quadient mail machine for processing and mailing/shipping company documents across several business units. This unit is a high volume, computer controlled system that produces roughly 80,000 pieces of mail per month. The right person will have a mixture of technical ability along with being able to handle a machine that is in constant production. Must be able to lift up to 55 pounds.

Our clients include property and casualty insurance carriers, law firms, third-party claim administrators and government agencies that use independent services to confirm the veracity of claims by sick or injured individuals under automotive, disability, liability and workers' compensation insurance coverages.

Your Role:Aside from being the overall expert, which we will help train you up to, your responsibilities generally include:





    • Operate mail inserting equipment to process various types of mail materials following standard operating procedures.
    • Monitor the operation of the inserter machine to ensure proper feeding, folding, and insertion of mail components.
    • Troubleshoot equipment issues or jams and perform basic maintenance tasks as needed.
    • Coordinate with the mailroom team to prioritize job orders and meet production deadlines.
    • Conduct quality checks on inserted mail pieces to ensure accuracy and compliance with specifications.
    • Daily maintenance of printers including paper and toner monitoring.


  • Maintain a clean and organized work area, including disposing of waste materials and recycling where applicable.
  • Weekly mail pick up at the post office and end of the day drop off when applicable.
  • Package and process outgoing UPS/FEDEX shipments
  • Perform clerical duties such as typing, filing, emailing, document scanning, document uploading to web portals and faxing as needed.
  • Promote effective and efficient utilization of resources and supplies.
  • Protect examinee rights by maintaining confidentiality of personal and financial information at all times and in accordance with HIPAA regulations.
  • Perform other duties as assigned.



Qualifications

High school diploma or equivalent required. A minimum of two years related experience; or equivalent combination of training and experience.Prior experience operating mail inserting equipment (Quadient) or similar highly preferred.The noise level in the work environment is usually high.




  • General knowledge of computer use, fax, copier, scanner, and telephone
  • Willingness to work flexible hours as needed to meet production demands
  • Must be knowledgeable of Internet browsers and prefer general knowledge of computer software, such as Outlook (email), PDF Reader such as Adobe and Microsoft Word.
  • Must have a full understanding of HIPAA regulations and compliance (training provided).
  • Ability to follow instructions and respond to managements' directions accurately.
  • Must demonstrate accuracy and thoroughness and look for ways to improve and promote quality and monitors own work to ensure quality is met.
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
  • Must be able to work independently, prioritize work activities and use time efficiently.
  • Must be able to maintain confidentiality.
  • Must be able to demonstrate and promote a positive team -oriented environment.
  • Must be able to stay focused and concentrate under normal or heavy distractions and be able to work well under pressure and or stressful conditions.
  • Must possess the ability to manage change, delays, or unexpected events appropriately.
  • Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
