Job Purpose |
The Graduate School Enrollment and Budget Manager oversees collection, recording, and reporting of all graduate student data and records, ensuring integrity, accuracy, and proper maintenance. Evaluates, follows, and suggests improvements to operational policies and workflows. Creates and manages comprehensive databases to maintain data. Oversees funding systems, coordinates with internal and external partners, and coordinates recruitment of student and temporary employees within the Graduate School. Works collaboratively and ethically with all stakeholders with a dedication to problem-solving. |
Minimum Requirements |
Bachelor's degree and relevant experience is required. Advanced degree is preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply. |
Required Knowledge, Skills and Abilities |
Knowledge of the functions and administration of student academic and financial records. Experience and knowledge of managing budgets, systems analysis, and design. Delivers exceptional customer service while supporting students, staff, and faculty with professionalism and care. Must communicate effectively verbally and in writing to interpret regulations, policies and procedures. Must be able to exercise discretion and sound judgment in the handling of records and in working with graduate assistants. Must possess or quickly gain a working knowledge of the provisions of federal Family Educations Rights to Privacy Act (
FERPA). |

Occasional travel and night or weekend work may be required.

Reviews and processes requests for student withdrawals, petitions for exception, appeals, and leaves of absence in consultation with Associate Dean and Dean. Collaborates with Graduate School colleagues and the offices of the Registrar, Institutional Research, Information Technology, Professional Development, Treasurer, and Financial Aid to ensure all course enrollment and academic program operations meet the needs of graduate students and the institution. |

2. Evaluates operational policies and procedures to ensure compliance for the Graduate School. Acts as liaison between internal/external constituents and the Graduate School and its programs. Educates program directors and faculty on institutional policies, procedures, and regulations dealing with graduate students. Plans, writes, edits, publishes, and updates program information for the Graduate Catalog as it relates to policies, procedures, and services available to students, faculty, and staff. |

3. Analyzes, develops, and directs process flows connected with graduate student information systems in Banner,
COGNOS, and DegreeWorks. Examines, develops and presents data reports, including predicative analytics, effectiveness of recruitment strategies, enrollment trends, student demographics, etc. Coordinates, plans, and assists with data collection and reporting for Graduate School assessment, program self-studies and external reviews. Prepares and reviews documentation for
SACSCOC reports. |

5. Manages funding systems for graduate students. Works closely with colleagues to coordinate the communication of funding opportunities and align funding strategy with enrollment priorities. Manages multiple budgets for the allocation of graduate student financial aid and graduate student assistantships. Coordinates and communicates with program directors. Troubleshoots funding issues and errors. Analyzes and proposes annual funding allocations and awards for programs in consultation with program directors and Graduate School leadership. |

6. Coordinates the transmission of information between institutions about graduate student enrollments. Validates and oversees internal and external (
CHE, Council of Graduate Schools, Peterson's, etc.) reports for the Graduate School. Interacts effectively with Institutional Research to collect, analyze, and prepare graduate school data for reporting needs including assessment and accreditation. Administers and analyzes annual Graduate Student Exit Survey in coordination with the Office of Institutional Effectiveness. |

7. Coordinates the employment/hiring process for temporary employees and graduate students. Manages graduate assistant eligibility and processes hiring contracts. Trains, supervises, and leads staff in data entry, file management of graduate student records, and other projects ensuring accuracy and confidentiality. Collects, evaluates, and documents graduate faculty credentials and courtesy appointments in consultation with Graduate School leadership and the office of Academic Affairs. |
