Events Planner - District Office

FUNCTION: The San Jacinto College event planner will plan and manage College-wide events from conception through completion to enhance the reputation and visibility of the College. The event planner will be responsible for planning successful and memorable events such as (but not limited to) fundraisers, legislative visits, conferences, facility groundbreakings and grand openings and parades.
Essential Job Functions:
  • Event Planning and Management:
    • Create detailed work plans and event flows for events. Ensure documents are maintained and updated throughout the planning process to ensure event team has the most updated information.
    • Coordinate with marketing design team for all event promotional items needed.
    • Coordinate with public relations team for all event public relations needs.
    • Coordinate all logistical needs including maintenance, police, Office of Emergency Management, IT and custodial requirements.
    • Create and track all event budget expenditures.
    • Create event assets including name badges, table tents, floor plans, signage etc.
    • For off-campus events, research and select venue. Direct all facility arrangements. Assess staging and decoration needs; design plans for staging and decor.
    • Manage all external requests to serve alcohol at an event on campus under the Alcohol and Campus Usage Policy.
    • Manage day-of event execution including on-site set-up, registration, and vendor management.
    • Coordinate and train volunteers and staff as needed for large scale events.
  • Event Committee Management:
    • Lead planning committees as needed for special events to discuss event goals and execution.
    • Manage committee deliverables and assets.
    • Participate and advise on department planning committees as needed.
    • Manage online event software.
  • San Jacinto College Foundation Events:
    • Plan and coordinate event logistics for the San Jacinto College Foundation as needed.
    • Collaborate with Foundation staff and special event host committees to meet the needs and goals for the event.
    • Organize and manage volunteers for each event as needed.
  • Advise campus departments and committees on event best practices and procedures.
Knowledge, Skills and Abilities:
  • Demonstrated working knowledge of computers, including moderate level mastery of all Microsoft Office applications with emphasis on Word, Excel, PowerPoint and Outlook.
  • Strong Internet, Web and email skills.
  • Working knowledge of event software and database skills.
  • Management of a customer relations management (CRM) system preferred.
  • Verifiable experience managing events from beginning to end, from intimate events to large person events and meetings.
  • Exceptional interpersonal, oral and written communication skills. Must be able to work with all types of people, and work well under pressure and tight deadlines.
  • Proven organizational and multi-tasking skills, including excellent time management skills working in a fast-paced environment with competing deadlines.
  • Self-starter; creative event planning; willingness to lead and follow through with minimal supervision; professional appearance, mature attitude, pleasant demeanor, and capable of making good judgment decisions.
Education required:
  • Associate degree.
Experience required:
  • Three (3) years in proven event planning
Education preferred:
  • Bachelor's degree in event planning, hospitality, marketing or related field.
Experience preferred:
  • Five (5) years' experience in event planning.
Licenses/Certifications:
  • Certified Special Event Professional (CSEP) preferred
Note: This position has limited opportunity for remote work arrangements with appropriate approvals and in accordance with the policies, procedures, and needs of the College.

Salary Grade: 109

Salary is based on the Board-approved salary schedule for the current fiscal year. See Salary Schedule
