Administrative Assistant within Strive in the Department of Psychiatry and Behavioral Health, performs a variety of administrative and secretarial tasks for faculty and staff in support of the department academic and research missions.

The perspective candidate must learn and know the business and finance policies which includes travel, purchasing, reimbursements, PCard, Accounts Payables, mail services, and Human Resources policies and procedures to communicate effectively to faculty and staff, and the ability to communicate with other departments. To enter, find, and to perform these functions effectively and properly into Workday and the ability to find information throughout OSU and other websites. To maintain the supply inventory by ordering tabling events supplies.

The perspective candidate must be proficient in calendar management being able to create, maintain, and update for leadership, which include Zoom and Teams meetings, and conference room calendars.

In addition, Strive, part of the College of Psychiatry and Behavioral Health is a fast-paced research and academic office setting with multi-facets and moving parts to the administrative assistant position must possess the qualities of professionalism, excellent communication and articulation skills, attention to detail, organize, prioritize day-to-day work, and the ability to work independently.

The perspective candidate must be a present, centered and focused candidate for Strive.

Minimum Education and Skills/Experience Required/Desired

Per CCS Specifications, six months experience (600 hours training) using computers to generate a variety of materials ranging from basic to complex; six months experience (600 hours course work) in office practices and procedures; six months experience (600 hours course work) in customer service. Requires successful completion of a background check. Selected candidate may be asked to complete a re-employment physical including a drug screen.

Degree desired: Bachelors degree

Essential Duties:

50% Performs a variety of administrative and secretarial tasks to assigned faculty, administrators, and programs in support of patient care, academic, and research missions; coordinates and maintains appointment calendars; schedules and coordinates meetings, conferences, educational programs, and special events including logistics; attends and records minutes of meetings; transcribes and distributes meeting records; Drafts and prepares correspondence.

45% Workday prepares and enters travel - national and international travel arrangements for faculty and staff and external committee members; collects and enter receipts for reimbursement expenses; enter requisitions for goods and services for the department; maintains inventory and supply order for tabling events; enter work orders when necessary.

5% Answers phones and inquiries; serves as liaison for faculty, staff, investigators, administration, and external customers and organizations; opens, screens and distributes mail and shipping; establishes and maintains electronic files; performs other duties as assigned.
