OVERVIEW
Merrick & Company, an employee owned engineering and architectural consulting firm with headquarters in Colorado and offices throughout the country, is seeking an Office Administrator for our Lewiston, ID office.
WHAT YOU'LL DO
The Office Administrator will provide administrative support to the Merrick team and technical staff. Responsibilities include answering phone and directing calls, purchasing supplies, maintaining common areas, coordinating lunch and learns, word processing/preparation of documents, electronic filing, copying, meeting planning, and general office support. Key Responsibilities
- Provides support as requested to assure that the office is maintained in a professional appearance and assists with organization, functionality and preparedness of office equipment, supplies, and conference rooms.
- Responsible for typing and integrating accurate edits into engineering reports and specifications as well as quality checking for typographical and grammatical correctness.
- Assist compiling engineering packages.
- Collaborate with administrative staff from other offices.
- File and retrieve documents and drawings to/from client system.
- Maintain project records, files, statistical data, action items, time and attendance records, and meeting minutes.
- Assist with travel arrangements and expense reporting.
- Coordinate vendor lunch and learns.
- Arrange office events (team building, holiday party, community events, etc.).
- Organize and maintain employee and client badge/key access.
- Prepare a variety of correspondence, memorandums, briefings, and other reports required for day-to-day operation.
- Make phone calls to customers to provide project updates and schedule appointments for site visits conducted by the design teams. Create and maintain phone log.
- Fill out and manage site visit schedule and coordinate best travel route for teams to use for site visits.
- Provide administrative support including typing/word processing, mail preparation, copying, and distribution.
- Meet expectations for attendance and punctuality.
REQUIRED QUALIFICATIONS
- Three (3) to five (5) years of experience working in a similar administrative role in the client service fields such as Engineering, Architecture or Consulting Services.
- Must be proficient in Microsoft Office applications, particularly the latest versions of Word, Excel, Outlook, and PowerPoint.
- Knowledge of Adobe and/or Bluebeam is preferred, as is the ability to learn new software (ex: Newforma construction and design management software).
- Strong organizational, problem-solving skills, multi-tasking abilities and attention to detail.
- Must be able to meet deadlines in fast-paced quickly changing environment.
- Exceptional interpersonal and communication (written and verbal) skills. Friendly and professional demeanor.
DESIRED QUALIFICATIONS
- Associates Degree preferred.
