The Information Governance Coordinator supports the holistic management of University records and information assets in collaboration with subject matter experts, IT professionals, and senior administrators. The Coordinator helps ensure compliance with legal and regulatory requirements and enterprise policies related to information governance (IG) including security, privacy, accessibility, integrity, efficiency, and risk mitigation. As a member of the Records and Information Management Services team, the Coordinator serves as a trusted resource to support an innovative and effective IG program that aligns with the University's mission and strategic initiatives and industry best practices, with particular focus on digital records in enterprise systems.

This position will be located on the Chicago campus and is hybrid eligible, with an anticipated weekly schedule of one day on campus and four days remote.

Duties & Responsibilities:
  • Develop and implement strategies to address the disposition of obsolete digital information in distributed and diverse environments, especially within enterprise systems, to include data pruning, anonymization, deletion, and archiving.
  • Develop, update and disseminate IG policies, processes, and guidance.
  • Provide direct support and guidance to IG projects; represent the IG program on committees; collaborate with existing IG and data governance groups; and maintain close working relationships with University Counsel, University information technology offices, University and State Archives staff, peers within the University and at similar institutions, and other relevant subject matter experts and leaders.
  • Work closely with colleagues to: research, develop, and promulgate IG policy and compliance requirements; develop and implement processes, priorities, long-range plans, goals and deadlines, reports, and data analysis to increase the efficiency and effectiveness of the IG program; respond to inquiries about best practices regarding the management of digital assets including creation, storage, organization, digitization, access, migration, and disposition; and stay abreast of the latest advances in information governance and technologies, such as cloud computing, privacy and security regulations, and artificial intelligence.


Minimum Qualifications Required:

  1. Bachelor's degree.
  2. A total of one (1) year (12 months) of demonstrated experience coordinating and supporting compliance-focused administrative programs involving information governance topics such as: policy development, enterprise architecture, process improvement, change management, strategic planning, privacy & security, or similar.


(Note: Master's Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications:
  1. Advanced training, certification, or demonstrated experience in information governance, information science, information technology, business information systems, project management, or digital preservation.
  2. Experience analyzing laws and policies, developing IG policies, and/or appraising and managing digital collections in government or higher education.
  3. Experience with SQL, XML, scripting languages, database architecture, administering enterprise systems, data warehousing, and/or related technologies in a large research-based organization.
  4. Experience with project management, process improvement, risk management, information security and privacy, FOIA or similar laws, digital preservation, digital accessibility, and/or other relevant IG topics, preferably at the University of Illinois.
Knowledge and Experience
  1. Demonstrated interest and ability to regularly learn and pilot new technologies.
  2. Strong analytical and problem-solving skills and demonstrated initiative to successfully exercise independent judgment to build upon a vision and carry it through to success.
  3. Demonstrated strong organizational skills with attention to detail and ability to meet deadlines.
  4. Excellent verbal and written communication skills, including the ability to interact professionally and collegially with a diverse group of executives, managers, and business and technical subject matter experts.
  5. Demonstrated ability to uphold strong ethical principles, ensure confidentiality of sensitive information, and foster an inclusive workplace which values all abilities, disciplines, and cultures.
  6. Proactive customer-service mindset to help make it easy for all University employees to comply with IG requirements and effectively use our information assets.
