Are you the kind of person who thrives in a fast-paced environment, keeps everything running like a well-oiled machine, and makes people feel at ease while doing it? Then we want YOU to join our team as our next Ambulatory Scheduling Specialist.

This is not your average desk job. You'll be the heart of our clinic operations - making sure patients get to the right place at the right time, feel informed and supported, and leave with a smile (and all the right paperwork).

What You'll Be Doing

  • Own the schedule - You'll coordinate and schedule procedures, tests, and follow-up care like a pro, working closely with physicians and ambulatory care teams.

  • Be the patient's guide - Provide patients with clear instructions and educational materials to help them understand what to expect during their visit.

  • Dig into the details - Gather important info like medications, physical limitations, and even socio-economic factors that might impact care.

  • Verify & clarify - Make sure insurance and financials are all squared away, including pre-certifications and authorizations. Enter everything into the STAR system like the data wizard you are.

  • Keep everyone in the loop - Maintain referral databases and ensure referring physicians are updated with results and care plans.

  • Be the friendly face (or voice) - Greet patients and staff with professionalism, warmth, and clear communication-whether in person or over the phone.

  • Support the team - Help leadership and clinical staff ensure smooth clinic flow and coordination with social workers, financial counselors, and other support services.

What You Bring to the Table:

  • High school diploma or GED

  • 2+ years of scheduling experience in a busy clinic or hospital setting

  • A knack for managing complex schedules and service coordination

  • Strong organizational and communication skills

  • Experience with electronic data systems (think scheduling tools, typing, and document formatting)

  • Stellar customer service skills and a calm, analytical mind

  • Ability to prioritize, stay focused under pressure, and follow tasks through to the finish line

  • Flexibility, multitasking superpowers, and the ability to adapt to a constantly changing environment

  • A positive, can-do attitude and a genuine care for both patients and coworkers

Bonus Points If You Have:

  • Previous experience in patient registration

  • Familiarity with ICD-9 and CPT-4 coding

  • Understanding of medical terminology
