Position Description

The Lead Onboarding Center Coordinator will generate reports, track and monitor compliance with background checks and federal I-9 regulations. Will act as a subject matter expert to resolve document inquiries, system workflows, status checks and monitor the re-verification process. Will serve as an escalation point of contact to resolve background checks that have not been received or are delayed, incomplete E-Verify cases and ensuring individuals are following applicable processes. May also perform the I-9 Employment Eligibility Verification review of acceptable identification documents for accuracy and compliance within established guidelines and/or process background checks. Will maintain department relationships with core medical center and campus groups for large scale processing and accommodations under supervision of management. Will maintain calendar, onboarding inbox and process documents.

  • Coordinates with management, HR compliance and recruitment on the status of new employee and/or reverification I-9s and background checks.

  • Monitors and issues reporting for compliance to federal, state and where applicable local laws.

  • Looks for efficiencies in processing, distribution, and other workflows.

  • Creates audit processes to allow for staff to research and respond to issues that could impede process completion/finalization.

  • Acts as the point of contact for escalation of issues from business managers and leaders.

  • Acts as a subject matter expert on I-9, background or badge processing issues.

  • May specialize in one workflow or another, will be accountable for knowing all processes and acting as backup for other subject matter experts.

  • Execute inbound and outbound communication for the department through appropriately answering or rerouting emails and phone calls within a timely manner

  • Create and maintain relationships with offsite locations as it relates to badge orders. As well as coming to agreements on badging for each group as it relates to compliance and the individual needs of the group

  • Prepare the badges for weekly New Team Member Orientation plus the CNO/UAP and SNA orientations

  • Monitoring departments eService reports as they relate to outstanding compliance issues

  • Correspond with new employees about the requirements for the Form I-9 and background checks

  • Meet with new employees to complete background checks and Form I-9 in accordance with federal requirements and follow up with employees regarding Form I-9 and employment authorization

  • Handle situations that may require additional or alternative processes, such as remote, out of state or international aspects, or contractors/vendors; employees needing to obtain social security numbers or e-Verify case alerts

  • Ensure data integrity by updating and entering information in Workday or other applicable systems and tracking software tools

  • Conduct criminal background checks for new hires by applying the appropriate federal and BCI/FBI process.

  • Execute inbound and outbound communication through frequent phone calls, service desk tickets, and emails.

  • Handle Personal Identifying Information confidentially and responsibly.

  • Provide support to team members

  • Provide feedback on processes and procedures

  • Manage the department's calendar. Ensuring blocks are people places and in a

  • timely manner, as well as communicating blocks and closures with management, TA, Employee Health, and hospital front desks

  • Communicating with groups that require large processing days or special accommodations (i.e. Volunteers, Medical Students, and TOPS)

  • Provide support as it relates to troubleshooting and navigating office systems such as ServiceNow and PowerApps

  • Create and manage tickets for office IT issues including software and technology issues.

Minimum Requirements

  • High School Diploma or GED with 2-3 years experience in either processing background checks or I-9 document processing.

  • Skilled in Microsoft Office, ServiceNow, and Workday (preferred)

  • 100% on-site position, regular business hours, Monday-Friday
