Functions as Administrative Assistant to coordinate and monitor daily administrative activities and services in the Department of Biomedical Informatics; provides comprehensive administrative support to Department Chair in administrative meeting management, professional travel plan, and other administrative needs; assists Faculty in managing and coordinating research operations of the Department of Biomedical Informatics; coordinates daily activities of administrative office, actively participates in faculty recruitment; assists department faculty, staff and/or students with fiscal, immigration and human resource activities; coordinates special projects, events and reports; assists with department website updates; researches, collects, prepares and interprets information and data to aid department leadership in decision making; in collaboration with the Department Administrator participates in development of departmental policies and procedures, and shares responsibility for implementation and compliance; reviews, screens and triages correspondence, inquiries and concerns to appropriate individual to further investigate and resolve; independently responds to routine correspondence; serves as the departments asset tracking specialist; ; conveys directives from department leadership; proactively monitor and manage the calendar of the Department Chair; schedule, coordinate and organize logistics for meetings, retreats, conferences, workshops and other special events involving both internal and external stakeholders; prepares and distributes agendas; records, transcribes and distributes meeting minutes; coordinates and makes travel and lodging arrangements; collects, prepares and processes requests for reimbursement of expenses; researches, collects and compiles information as requested to develop complex departmental reports for decision making purposes; serves as liaison with university offices, faculty, staff and outside agencies. Minimum Education and Skills/Experience Required/Desired; High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred. Requires successful completion of a background check. Selected candidate may be requested to complete a pre-employment physical including a drug screen. Additional Preferred Education 2 year college degree and or / equivalent education and experience.
