Position Highlights The Center for Creative Photography (CCP) seeks a highly skilled and detail-oriented Registrar, Collections. Reporting directly to CCP's Head of Collections, the Registrar will play a pivotal role in managing and overseeing the preservation, documentation, and safe care of CCP's renowned fine print collection. This includes maintaining best practices for record keeping, ensuring proper stewardship of both CCP's holdings and objects on loan, and contributing to the development of collections management strategies. The successful candidate will work in an autonomous capacity, having ownership of their responsibilities. As such, this role is ideal for a professional who is confident in independently executing complex collections management tasks, and who thrives in a collaborative yet self-driven environment. This opportunity comes at a critical moment in CCP's history: the organization is expanding its frozen/cold storage facilities, with preparations for its 50th anniversary in 2025 underway. The position offers the unique opportunity to help shape the future of the Center's collection management practices during a time of growth and transformation

Some evenings/weekends and occasional travel/international travel will be required. Valid driver's license and passport-or the ability to obtain a passport-is required.

Duties & Responsibilities

Fine Print Collection Management

  • Oversees the management and storage of the fine print collections.
  • Administers object accessions including processing gift documents, IRS forms and appraisals, recording object information, photographing objects, determining proper housing for objects, and conducting annual inventories.
  • Collaborates with the Head of Conservation on determining treatment, preservation, and care of the fine print collection; Orders supplies for object storage and collections care.
  • Supervises management of the collections database, including data clean-up, staff training, and the creation of user guides and reports, and works with staff to ensure data standardization.
  • Maintains current confidential valuations of art and works with University of Arizona Risk Management to ensure the appropriate fine arts coverage for the collection while on site and in transit.
  • Travels nationally and internationally as courier as required to borrowing institutions to oversee unpacking, installation, condition reports, and/or repacking.
  • Provides staff assistance to serve objects from the fine print collection to researchers.

Exhibition Management

  • Works with CCP's curatorial and conservation staff to coordinate traveling exhibitions, including loan agreements, transport, installation, condition reporting, insurance, and storage.
  • Oversees all shipping needs for incoming and outgoing exhibitions, long-term and temporary loans. Schedules all art-related shipping, determines appropriate shipping methods, dates and packing needs, and determines crating needs for fabrication in concert with conservation staff.
  • Collaborates with CCP's curatorial team in the planning, scheduling, design, and production of all exhibitions as pertains to collection and loaned objects.
  • Drafts and reviews loan agreements with lenders and participating institutions. Negotiates terms and monitors compliance and payment schedules.
  • Assesses lender requirements and fees for loans and negotiates terms in the best interest of CCP in consultation with Director. Communicates terms and special requirements of loans to appropriate staff and staff of participating institutions, and monitors compliance with such terms and conditions.
  • Maintains facility reports. In conjunction with facilities management staff, monitors environmental conditions in galleries and vaults.
  • Supports exhibition staff in the safe packing and handling of artwork during installation and deinstallation of exhibitions.

Administration

  • Assists with oversight of departmental budget, ordering supplies, creating and recording purchase orders, and processing invoices.
  • Recruits and supervises volunteers, interns, and student workers.
  • Serves as institutional contact for outside vendors and/or contractors.
  • Contributes to stewarding donor and other stakeholder relationships, working closely with CCP's director and other leadership positions and Arizona Arts' philanthropy team.

Service and Professional Development

  • Participates in extra-departmental and University-wide projects, committees, and service to the CCP as relates to the position.
  • Maintains professional relationships and contributes to knowledge of best practices and current developments in the field.
  • Represents CCP as assigned at professional conferences and continues professional development through committee participation, publications, workshops, seminars, and/or conference presentations.
  • Additional duties as assigned.
  • Ability to work some evenings/weekends will be required.

  • Excellent skills in diplomacy, negotiation, and written/oral communication with colleagues and external constituents (lenders, donors, etc.).
  • The ability to balance different interests and achieve common goals by leading or participating in collaborative projects involving multiple stakeholders.
  • Ability to manage and align expectations with the museum's goals, building and maintaining strong relationships with donors, lenders, and other external partners.
  • Knowledge of ethical standards and legal matters relating to the management of museum collections as well as the application of best practices and procedures for art handling, installation, storage, condition reporting, preservation, and basic conservation.
  • Ability to work as part of a team and coordinate with peers; ability to set and accomplish goals and to meet deadlines through effective prioritization; ability to work independently and collaboratively in a team-oriented environment.
  • Ability to perform long-range planning while retaining nimbleness; flexibility within a fast-paced and changing environment; effective work under pressure amidst shifting priorities; problem-solving and analytical thinking.
  • Ability to work and communicate effectively with a variety of colleagues, collectors, donors, and others, including handling of sensitive financial and legal materials.
  • Excellent computer skills with a willingness and facility to learn new software applications as required.
  • Superb attention to detail is essential.

Physical Requirements:

  • Ability to lift/move/carry up to 20lbs.
Minimum Qualifications
  • Bachelor's degree in art history, museum studies, or related discipline; or equivalent advanced learning attained through professional level experience required
  • 8 years of progressively complex museum registration experience, or equivalent combination of education and work experience
  • Must have a valid driver's license and ability to drive according to
    the University Fleet Safety Policy.
Preferred Qualifications
  • Master's degree in a relevant field.
  • Advanced experience with collections management software.
  • Experience at an academic museum or gallery; related experience in a museum or cultural heritage institution with significant photographic collections.
  • Experience at a public university.
  • Experience with or knowledge of grant writing and fundraising.
