The GW Department of Romance, German & Slavic Studies (
RGSS) fosters critical thinking, reading, speaking, and writing across cultures and histories. The department offers four major and five minor programs, along with dozens of language, culture, and literature courses in French, German, Italian, Portuguese, Russian, and Spanish. Department faculty teach hundreds of students every semester.
RGSS is seeking a
Senior Academic Department Administrator. The responsibilities of this position include the following:
- Processing the hiring of all full-time and part-time staff. Tracking the visas and organizing the visa application process for eligible staff. Ensuring compliance with the CBA. Obtaining overload approvals for faculty when appropriate.
- Developing and monitoring budgets and preparing and processing all financial-related matters, including purchase orders, supplemental compensation, invoices, honorarium, stipends, and expense reimbursements. Maintaining the department's P-card. Ensuring budget compliance with institutional policies and procedures.
- Supporting the administrative operations of the department, to include: organizing the class scheduling of the various sections for the fall, spring, and summer terms; managing room assignments; developing and maintaining the department listserv; preparing correspondence to further or publicize department activities; tracking department donations and organizing letters of recognition; and compiling/distributing various assessments.
- Hiring and overseeing the department's administrative assistant and work-study student; training this staff to support faculty through such activities as scanning, copying, flyer creation, test proctoring, etc.
- Managing all logistical aspects of RGSS, including space allocation, receptions for faculty events and student recognition (including a graduation event), refreshments for faculty meetings and teas, print and digital program materials, speaker travel, retreats, among other tasks.
- Keeping current on faculty affairs including contracts, special agreements, startup funds, etc.
- Regularly updating the departmental web platform.
- Liaising between departments and offices within the CCAS and GW.
Performing other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logistically related to the position. |
Minimum Qualifications: |
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience. |

Preferred Qualifications: |
- Strong organizational and multitasking skills, with the ability to manage complex administrative processes and meet deadlines.
- Experience in higher education administration, particularly in academic departments or similar environments.
- Proficiency with office and financial systems, such as Microsoft Office Suite and institutional platforms (e.g., Banner, EAS, Concur, or similar).
