About the Department:

The Finance Department functions as the financial steward for the Antonin Scalia Law School, overseeing all financial operations, including budget management, financial reporting, and processing all cash receipts and disbursements, payroll processing for all non-benefitted employees covering a $20M state funded budget and $20M in Foundation related activity. In addition, the department manages all workflows and develops processes and procedures for all fiscal activity, ensuring that all such activity is processed timely and in compliance with state and university policies, procedures and regulations.

About the Position:

The Financial Services Specialist plays a critical role in the managing of day to day financial operations of the Law School. Assists the Director of Finance with transaction processing, tracking, reporting and accounting for all cash receipts and disbursements, budgeting, and financial reporting for the Law School operations including Center related activity. Performs a wide variety of operational actions as an extension of main campus Purchasing, Accounts Payable, Travel Office, GMUF, P-Card, General Accounting, Human Resources, and Office of Sponsored Programs (OSP).

Responsibilities:



  • Ensures all E&G and GMUF reimbursements are processed timely and in compliance with University and Foundation policies;
  • Ensures approvals are within authority levels and documentation supporting all transactions are included;
  • Works closely with the Finance Director, managing the approval of Chrome River submissions and P-Card allocations;
  • Generates e-VA purchase orders for Law School operations, such as ABA invoices, AALS, and any other invoices received in the administration suite;
  • Provides fiscal support to six centers within the Law School, which may involve communication with GMUF and center personnel. Provides internal account structure to assist centers with financial reporting;
  • Serves as the liaison between the centers and GMUF for GMUF voucher submissions;
  • Manages internal inbox processing multimillion dollar expenses;
  • Responsible for processing EPAFS. Enters and verifies completion of electronic approvals for labor into Banner. This includes all non-benefitted payroll for fall, spring, summer adjuncts, faculty special payments, summer research payments, student wage and wage employees (over 500 per year);
  • Responsible for split labor funding, change of funding sources as determined necessary, and the Self-Service Labor Redistribution Tool;
  • Manages the monthly reconciliation for all state orgs, OSP linked funds and foundation accounts;
  • Prepares timely and accurate monthly financial reports for law school centers and departments;
  • Manages faculty research account tracker on a daily basis;
  • Generates monthly labor reports for all faculty research assistants allocating expenses to proper research accounts;
  • Works closely with other administrative staff, tracking travel encumbrances and ensuring spending levels remain within the E&G budget; and
  • Supports with other related operational and administrative duties, special projects, and initiatives as assigned.


Required Qualifications:



  • High school diploma or equivalent;
  • Some experience in fiscal services (typically 1-2 years);
  • Some experience in operating applicable office equipment and software, including Office365 (typically 1-2 years);
  • Knowledge of basic accounting principles;
  • Proficiency with office software (Microsoft Office Suite);
  • Excellent written and oral communication skills;
  • Strong organizational and problem-solving skills;
  • Ability to handle sensitive and confidential information;
  • Ability to manage multiple projects at one time; and
  • Ability to work independently with minimal supervision as well as part of a collaborative team environment.


Preferred Qualifications:



  • Bachelor's degree in related field;
  • Experience working in a higher education environment;
  • Experience working in and pulling reports from MicroStrategy;
  • Experience with Banner;
  • Experience with Chrome River and e-VA;
  • Experience working with senior executives/administrators;
  • Knowledge of Commonwealth and GMUF fiscal policies;
  • Knowledge of George Mason financial systems, such as Banner, MicroStrategy, etc.;
  • Ability to demonstrate significant attention to detail and perform work with a high degree of accuracy; and
  • Ability to multitask and prioritize daily activities.
