Overview: We are seeking an experienced Executive Assistant to support our Chief Human Resources Officer and provide broader administrative support to the HR leadership team and department. This role is critical to ensure the efficient operation of the HR department through proactive coordination, communication, scheduling, event logistics, travel planning, and project tracking. The ideal candidate will be highly organized, detail-oriented, and experienced in supporting executives and departmental operations in a dynamic, fast-paced environment. Key Responsibilities Include: * Coordinate on- and off-site department events and large-scale meetings; manage logistics including scheduling, food and beverage, audiovisual needs, and room setup * Manage multiple concurrent meetings or events throughout the year, demonstrating strong organizational skills and attention to detail * Communicate clearly and frequently with internal stakeholders to ensure alignment and timely updates on meeting plans and logistics * Perform administrative duties such as drafting correspondence, proofreading, coordinating meetings, and triaging documents and emails * Schedule internal and external meetings using Microsoft Teams, Zoom, and other conferencing platforms * Coordinate on- and off-site events and large-scale meetings, partnering with IT, facilities, and hospitality teams to ensure seamless execution * Process expense reports and vendor invoices through Chrome River and maintain budget tracking * Manage travel logistics including conference registrations, accommodations, and travel deadlines * Track department deadlines and proactively support timely completion * Maintain and update department email distribution lists * Support project coordination and progress tracking, including recurring content posting on SharePoint (Byron) * Assist in the collection and reporting of performance metrics * Provide department record management and general administrative support as assigned * Support the hybrid nature of the role by being present in-office (Downtown Minneapolis) generally four days per week, with one remote workday Our Ideal Candidates Will Have: * High School Diploma or equivalent with significant relevant administrative experience * 3+ years of experience in an administrative or executive assistant role * Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) * Experience coordinating meetings using Microsoft Teams and Zoom * Ability to support multiple leaders or departments simultaneously * Strong organizational skills with high attention to detail * Ability to handle sensitive and confidential information with discretion * Excellent interpersonal skills and a professional demeanor * Demonstrated ability to prioritize and respond with urgency * Reliable high-speed internet and ability to function effectively in a hybrid or in-office environment * Experience coordinating event logistics (food, AV support, accommodations, etc.) Preferred Qualifications: * Associate or bachelor's degree * Previous experience in hospitality, event planning, or complex meeting coordination strongly preferred * Experience with Chrome River or similar expense management systems * Experience processing expenses and vendor payments * Aptitude and enthusiasm for learning new technologies Benefits: Our comprehensive benefits options include medical, dental, vision, basic and supplemental life insurance, short-and long-term disability, employee resource benefits (inclusive of counseling, coaching, and care-giving guidance), paid-parental leave, parenting classes, pre-tax parking and transportation options, and much more! Benefits are subject to eligibility requirements and other terms and conditions. The salary range for this position varies by geographical market. In Minneapolis, the estimated starting annual pay range is $70,000 - $90,000/year. The compensation offered will be dependent on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
