Job Overview
This position is project management of a team to generate support services, administrative support, SharePoint technical and data management support services, test, evaluation, quality assurance (QA) and logistics support including post-delivery coordination for the U.S. Coast Guard (USCG) Waterways Commerce Cutter (WCC) Project Resident Office (PRO), located At Bayou La Batre, Alabama. Responsibilities
Essential Duties & Job Functions:
- Responsible for all local management of contractors performing work under this contract.
- Primary point of contact for the customer.
- Provide for the daily administrative needs to execute WCC production contract oversight to include documentation and administrative support in the areas of communications, documentation capture, writing, task tracking, briefings, and meeting support.
- Develop and generate PowerPoint presentations, emails, documents, white papers, spreadsheets, graphs, program documentation, and record meeting notes and action items.
- Obtain and present information and prepare a variety of recurring special reports. The Contractor shall provide input and editing to routine and non-routine reports.
- Monitor organization actions in responding to and complying with reporting requirements.
- Advise office personnel on requirements of documents and formats.
- Collaborate within the organization to obtain information and validate conflicting information and present completed information in a comprehensive manner.
- Receive incoming correspondence addressed to the office, distribute to the department responsible, and establish suspense controls.
- Prepare executive and staff level correspondence and non-technical reports, maintain logs and records on incoming correspondence and follow up to ensure timely action.
- Review outgoing correspondence to ensure material is compliant with WCC PRO policies, to include proper formatting, grammar and relevant background material is attached.
- Utilize various automated systems including Microsoft 365 and SharePoint programs.
- Perform a variety of duties in support of office missions by reviewing data to determine completeness and accuracy; compile statistics and supporting analyses for decision-making.
- Conduct periodic review of office coordination and workflow and make recommendations to ensure effective and efficient unit operations.
- Support the administration, collection and submission of data calls. These data calls are routine in nature but generally require a very fast turnaround time for a response within 24 hours but with an expedited timeframe on some of less than 4 hours
- Ensure all correspondence and documents to support WCC production contract, as applicable, are prepared in accordance with customer directives.
- Research suitable communication tools and products (web, articles, white papers, and similar type reports or articles) and provide recommendations.
- Support the coordination of special programs and media events and maintain a history file of program related media
- Monitor the WCC production contractor's Integrated Master Schedule (IMS), using Primavera and report to the WCC PRO of new and existing discrepancies.
- Maintain the WCC PRO IMS to document internal recurring events and milestones related to WCC PRO operations and incorporate updates to the WCC PRO IMS.
Job Requirements
Mandatory:
- Bachelor's Degree required.
- Minimum of five (5) years of experience relevant to the SOW. At least 4 (four) years of experience in a project management role.
- Knowledge of ship construction.
- Proficiency with Microsoft 365 software suite, including but not limited to, Word, PowerPoint, Visio, Project, and Excel.
- Proficiency with Primavera.
- Valid driver's license.
- Must be able to pass and maintain background clearance investigation.
- Must be able to successfully pass a pre-employment background check and pre-hire drug test.
