Position: Subaward Specialist, Sponsored Programs Administration

Location: Boston, MA

Schedule: 40 hours per week, Remote

POSITION SUMMARY:

The Subaward Specialist oversees the management of subawards, ensuring compliance with internal procedures and developing standard templates. They serve as a resource for research administration and collaborate with various stakeholders. Responsibilities include drafting, reviewing, and negotiating subawards, liaising with internal and external parties, managing Subrecipient monitoring, and maintaining compliance with reporting requirements.

ESSENTIAL RESPONSIBILITIES / DUTIES:


  • Manage the overall sponsored programs process for Subrecipient Management.
  • Perform necessary duties regarding sponsored programs compliance and Subrecipient Monitoring. Maintain and manage central email inbox for Subawards.
  • Draft, review, and potentially negotiate or execute outgoing subawards, research and programmatic services contracts.
  • Complete FFATA reporting as required by regulations. Oversee audits of subrecipients and ensure compliance.
  • Conduct Subrecipient Risk Assessments. Manage Subrecipient Performance Intake Form process.
  • Develop and implement standard operating procedures (SOPs).

JOB REQUIREMENTS

EDUCATION:

  • Bachelor's degree required

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

  • None. (Juris Doctor preferred)

EXPERIENCE:


  • Minimum 2 years' experience managing subawards, grants administration, legal services, or contracts-related position

  • Experience navigating policies, procedures, statues, and regulations


KNOWLEDGE AND SKILLS:


  • Subaward Administration:Foundational knowledge of subaward management processes.

  • Budgets and budget development:Knowledge of project budgeting as related to subawards.

  • Proposal review:Foundational knowledge of proposal development for federal, non-federal, and foreign sponsors and subrecipients.

  • Training and Presentations:Ability to develop, organize and present information to small groups.

  • Systems, Processes and Tools:Ability to identify procedural inefficiencies and make recommendations for improvements to systems and tools.

  • US Government Rules and Regulations:Foundational knowledge of U.S. government rules and regulations.

  • Software Applications:Foundational knowledge of MS Office products, including MS Word, Excel, Outlook, PowerPoint, and SharePoint.

  • Organization, Planning and Multi-tasking:Advanced organizational and planning skills, project planning and management skills. Proven ability to set priorities, meet deadlines and multi-task with minimal supervision.

  • Self-Management and Teamwork:Ability to work independently or as a member of the team, ability to be detailed-oriented, and ability to manage stress effectively in a fast-paced environment.
