Qualifications
Education and Experience: Graduation from an accredited college or university with a bachelor's degree and experience equivalent to three years of full-time professional program related experience.
Substitution of Experience for Education: Qualifying full-time professional program experience may be substituted for the required education, on a year-for-year basis, to a maximum of four years.
Overview
Under general supervision, is responsible for program facilitation work of advanced difficulty by assisting in the planning, implementation, and evaluation of assigned programs. This is the advanced working level in the Program Specialist sub-series and work includes processing all program related documents and data, including financial information. This class differs from that of Program Specialist 1 in that incumbents of the latter perform work of lesser scope.
Responsibilities
1. Leads the planning, implementation, and evaluation of assigned programs.
2. Coordinate meetings, events, and training sessions related to the program. Maintain program schedules and deadlines.
3. Prepare and process documents, reports, and correspondence related to the program. Manage and maintain files, records, and databases. Handle incoming and outgoing communication and ensure timely responses.
4. Collect, analyze, and compile data for reports and presentations. Monitor and track program performance metrics and prepare summaries for stakeholders.
5. Serve as a point of contact for internal and external stakeholders regarding program inquiries and issues. Facilitate communication between different departments and program participants.
6. Process invoices, manage budgets, and monitor expenditures related to the program. Prepare financial reports and assist with audits as needed.
7. Implement best practices and process improvements to enhance efficiency and effectiveness in program delivery.
8. Ensure all program related files and documents are properly processed and filed. Coordinate and communicate with administration to ensure all program policies are being followed and provide routine updates.
9. Provide assistance to agencies regarding program related questions and submittal of their program documents. Maintain a report of all program participants, totals, and relevant data.
10. Conduct research and act as a subject matter expert with knowledge of program rule, regulations, policies, and laws.
