What you'll be doing...

You'll ensure that all is running efficiently for the executives in your group--the Vice President, Deputy Chief Information Security Officer (CISO) and his direct reports. You'll be answering calls, greeting guests, planning travel, scheduling appointments, handling travel expenses, and essentially looking after the day-to-day operations in the office so that the executives can focus on the business while you take care of the rest.

  • Managing and maintaining a senior executive's complex calendar with constantly changing priorities, while maintaining sensitivity, including scheduling meetings without clearance on occasion, arranging travel accommodations as necessary, and carving out time for focused work.

  • Acting as a gatekeeper and scrutinizing all requests to ensure time efficiency.

  • Screening meeting requests and employee inquiries, ascertaining who can be redirected to subordinate directors or other offices.

  • Bringing urgent issues for action to supervisor's attention.

  • Providing information with discretion as needed, requiring detailed knowledge of the Executive's span of control, the business unit, and general knowledge of company policies, practices, and operations.

  • Preparing documents including developing presentations and correspondence while practicing adherence to Brand Compliance

  • Partnering with other Executive Admins in the Executive's organization and setting a plan with other members of the administrative staff to ensure constant coverage.

  • Developing processes for maintaining team records and training other administrative personnel on procedures while safeguarding confidential information.

  • Organizing and coordinating the operation of an office overseeing and managing the provisioning of supplies, equipment, and services that enable the staff to perform their jobs effectively.

  • Establishing relationships and a strong network with internal executive administrative teams, as well as external administrative teams of our partners.

  • Acting as representative and ambassador to external constituents as needed.

  • Performing ad hoc project-related duties as requested.

You'll need to have:

  • A Bachelor's degree or one or more years of work experience.

  • Three or more years of administrative or related experience

  • Project management experience.

  • Executive support experience.

  • Experience working on cross-functional teams, managing stakeholders and partners, and thriving in a highly matrixed and dynamic environment

  • Willingness to travel up to 5% of the time.

  • Ability to work a hybrid schedule based out of Ashburn, VA with assigned office days. Other valid Verizon locations may be considered based on candidate experience.

Even better if you have one or more of the following:

  • Juggled multiple high priority projects.

  • Supported a team for their administrative needs.

  • Solid proficiency with Web-ex, Google Suite, Microsoft Office, and Slack.

  • Strong culture building across teams to keep employees informed and engaged through coordination and moderation of various governance activities.

  • Demonstrated strong verbal and written communications.

  • Ability to work well independently and under pressure.

  • Ability to collaborate with internal and external partners.

  • Experience juggling multiple high priority projects with the ability to stay organized and meet deadlines

Where you'll be working

The salary will vary depending on your location and confirmed job-related skills and experience. This is an incentive based position with the potential to earn more. For part-time roles, your compensation will be adjusted to reflect your hours.
