Introduction

This Classification is considered exempt and is not subject to the Civil Service Examination process.

Applications will be accepted only during the designated filing period for this classification. The opening date is May 9, 2025 and the closing date of the filing periodis May 23, 2025. Applications must be filed by the following method:

Residency Requirement:There is no residency requirement to submit an application; however, all District employees must be domiciled within the boundaries of the District within six months of successful completion of probation. (The District is in Cook County, Illinois, covering approximately 90% of the county area.)

Probationary Period:The probationary period for this classification is one year (250 days worked).

Duties
The Secretary to Officer provides high-level administrative, task and document management support to the Director of Monitoring & Research and Departmental Divisions. This role is responsible for proofreading and organizing official documents, managing departmental communications and assignments, maintaining accurate records, assisting with timekeeping processes, and performing additional duties that contribute to the effective and efficient operation of the Department.

  • Excellent proofreading, formatting and attention to detail.
  • Ability to manage multiple assignments, prioritize tasks, and meet deadlines.
  • Skilled in maintaining organized electronic files.
  • Knowledge of task assignment, tracking, and follow-up procedures in a large organization.
  • Proficiency with Microsoft Office applications (Word, Excel, Outlook).
  • Flexible, proactive, and adaptable to changing priorities.
  • Strong collaboration and relationship-building skills.
  • Demonstrates consistent professionalism and ethical conduct.
  • Maintains discretion and integrity with confidential information.
  • At least five (5) years of work experience in an office-support position.


Desirable Qualifications:

  • Proficiency with SAP, Legistar, electronic approval platforms (DocuSign, Concur), and financial reconciliation systems.
  • Working knowledge of government or public sector administrative processes, including procurement, legal reviews, and budget communications.
  • Two (2) or more years post-high school education in a relevant area

Appointments

Appointment is subject to successfully passing a physical examination, a drug test and a criminal history background investigation.


Salary/Pay Plans

The salary listed above is Step 1 in a structured pay plan. At 6 months of employment with the District, the salary will increase to Step 2: $84,755.06. At 18 months, the salary will increase to Step 3: $90,266.80. There are 9 total steps for EX06 of the pay plan (view fullpay plan).
