This type of appointment is not approved to work more than 999 hours per year for all positions combined. Should incumbents work more than a total of 999 hours in a year the appointment may not continue beyond one year of service.
Accountabilities
The Summer Office Assistant will support the department's transition to a paperless system by scanning and organizing confidential files from the file room into a digital database. This role requires attention to detail, adherence to data security protocols, and the ability to work independently in an office setting.

Key Accountabilities:

  • Scan, digitize, and categorize confidential paper records according to established procedures.
  • Ensure the accuracy and quality of scanned documents, including proper file naming and organization.
  • Handle sensitive information with discretion and comply with confidentiality policies.
  • Maintain and organize physical and digital files to ensure easy retrieval.
  • Troubleshoot scanning equipment and report technical issues as needed.
  • Assist with general administrative tasks related to records management.

Requirements


Professional Experience/ Qualifications

  • Strong attention to detail and organizational skills.
  • Ability to handle confidential and sensitive information responsibly.
  • Proficiency with office technology, including scanners, computers, and file management systems.
  • Ability to work independently with minimal supervision.
  • Experience with Microsoft Office (Word, Excel) and document management software is a plus.

Preferred Qualifications

  • Prior administrative or office experience.
  • Familiarity with data entry and electronic record-keeping.

Education
  • High school diploma or equivalent (current college students preferred).
