Treasury Assistant
Treasurer/Collector's Office

Hourly Range: $33.88 - $38.70

GENERAL SUMMARY:
Under the general supervision of the Treasurer/Collector, performs a variety of administrative
and financial work in the processing of Town and School revenue and disbursements.

ESSENTIAL JOB FUNCTIONS:
* Oversees the daily receipts/deposits function and performs daily cash management. Serves as
back-up to making deposits and records departmental receipts and revenue received into the
accounting system MUNIS. Allocates revenue received to appropriate accounts using
Microsoft Excel.
* Assists in setting up and managing all bank accounts. Maintains and reconciles all accounts
to electronic cash book. Acts as operating liaison for all banking transactions for the Town
and School. Reconciles all bank accounts to the general ledger on a monthly basis.
Maintains and manages online banking software. Ensures all transfers of funds are accurate
and timely for bi-weekly accounts payable and weekly payroll warrants.
* Reconciles and transmits all electronic payments for federal and state taxes, ACH accounts
payable, and payroll direct deposit files.
* Assists vendors and employees in identifying the payment status of issued checks.
* Handles returned checks, stop payments, voids, manual reissues, and the research status of all
outstanding A/R and A/P checks.
* Responsible for paying certain invoices on a timely basis.
* Manages all functions for the Trustee of Public Trust Funds. Pays bills, transfers funds,
reconciling the accounts to the bank and general ledger. Also performs other transactions as
needed.
* Acts as a liaison with the School Department in identifying funds for posting to general
ledger accounts. Maintains all records and balances for school student activity accounts.
Reconciles all student activity accounts to the bank and general ledger. Provides schools with
necessary banking materials, including deposit slips and stamps.

* Assists in payroll and other year-end closings. Prepares financial reports, schedules, and
other necessary materials.
* Keeps accurate tax records to assist the Treasurer in filing the 941 quarterly tax returns.
* Assists with other financial functions as needed, including collection tasks. Serves as back up
at Collector's counter accepting payments and answering questions.

* Provides information and assistance as needed to other employees, departments, and the
general public.
* Performs special projects and other related duties as required, directed, or as the situation
dictates.
* Regular attendance at the workplace is required.

SUPERVISORY RESPONSIBILITY:
None

MINIMUM EDUCATION & EXPERIENCE:
Two-year college certificate, including coursework in an accounting related field, with a
minimum of three years of increasingly responsible accounting or banking experience.

ADVANCED EDUCATION & EXPERIENCE:
None

QUALIFICATIONS:
Knowledge of:
* Principles and procedures of a municipal accounting program, including revenue collection
and processing.
* Modern office procedures, methods and computer equipment, including office and financial
software.
* Federal, State and/or local laws, codes and regulations related to the Treasury function.

Ability to:
* Perform complex financial tasks.
* Operate computer and various software necessary for performing assigned duties.
* Work independently in the absence of supervision.
* Organize work in order to meet multiple deadlines.
* Interpret and apply Federal, State, and local regulations, as well as Town policies and
procedures.
* Communicate clearly, both orally and in writing, and maintain effective work relationships.

WORKING CONDITIONS & PHYSICAL DEMANDS:
Work is performed in a normal office environment, not subject to extreme variations of
temperature, noise, odors, etc. Operates computer, printer, photocopier, check folder/sealer, and
other basic office equipment. Work requires extended periods of sitting, reaching, typing, and
mousing, which requires eye-hand coordination and finger dexterity. May occasionally require
lifting and/or moving objects up to 25 pounds.
