Job Summary (includes but is not limited to the following, other duties may be assigned) The Administrative Assistant Office Supervisor performs a wide variety of highly complex administrative support duties at the direction of the Executive Assistant as well as supervising Office Facilities for Calpine Energy Solutions. The Administrative Assistant / Office Supervisor will manage and be exposed to a wide variety of functions (e.g., Building Facilities Maintenance, Office Work Order requests, etc.) as well as administrative duties as further described below. Job Responsibilities Supervisor Functions:
- Supervise Office Facilities Assistant; manage tasks and supervise schedule.
- Maintains and organizes department and project files.
- Order supplies as needed and manage supply inventory for San Diego Office and Home Office Employees.
- Orders employee business cards, billing paper, stationary for the office.
- Assists with marketing items for sales and coordinates shipping trade show booth.
- Point of contact for building issues including but not limited to; employee parking and general office / facilities related items.
- Codes invoices for all facility related products.
- Responsible for the administration of Employee Security FOB's.
- Negotiate and manage Vendor Contracts and monthly subscriptions; including but not limited to hotels and other off-site meeting and conference spaces, Fitness Room, Towel Service and Kitchen Supplies and other office related contracts.
- Maintains vendor files and contacts
- Required occasional evenings or weekends for projects or building issues Work independently under little or no supervision and regularly work with confidential information.
Administrative Functions:
- Consistently lead complex administrative assignments requiring critical action; assist management with problem solving around reoccurring, systemic problems.
- Schedule and manage meetings and conflicts on calendars; answer and screen telephone calls, take messages, monitors voicemail; process daily incoming and out-going mail.
- Coordinates and take lead responsibility on special projects and ad hoc requests of the Executive Assistant.Prepare, edit and draft internal / external correspondence(s), PowerPoint Presentations, create MS Visio, Word and Excel documents as required.
- Process and Pre-Approve invoices as directed by Executive Assistant.
- Coordinate with Administrative Assistant Team to develop and review expense reports by Cost-Center for budgeting purposes.
- Support and provide leadership for Corporate Fundraiser's, Community Service, as well as Holiday and Employee events.
- May be required to provide coverage for other Administrative Staff as needed
Job Requirements
- Associate's Degree, Technical/Business School or equivalent preferred.
Minimum 5 years' experience supporting an executive with 2 years of Facilities experience strongly preferred. - Intermediate level proficiency in Power Point, Excel, Visio, and MS Office products.
- Demonstrated knowledge of business application software including spreadsheets, databases and word processing.
- Excellent oral, written, and interpersonal communications skills.
- California Public Notary Commission desirable.
- This Role may have access to highly confidential information - discretion is required.
Salary Information Hourly range $26.33 to 36.86 Additional Calpine Information
