This candidate will work 4, 10 hour shifts. Two of the days will be remote and other 2 days will be onsite.

Job Summary

Provides clerical support and complex care coordination for multiple specialties within the cancer service line's Multi-Specialty Team & Cancer Tumor Conferences to assist in the delivery of quality health care services.

Essential Functions
  • Work in constant collaboration and communication with physician/nurses and other clinical team members in order to minimize duplication of errors, promote teamwork and ensure seamless coordination of services.

  • Oversee and assist the running of coordinated sometimes concurrent multi-provider schedules in cooperation with other internal/external provider schedules by performing administrative functions, including, but not limited to: patient registration, check in, check-out; scheduling complex patient appointments, monitor incoming/outgoing referrals, monitor various time sensitive recall work queues, schedule surgeries, walk-in orders, radiology tests, perform medical record review of incoming referrals to identify missing/external records needed; build complex provider schedule templates; navigate external patient referral portals; reconciles multi-department deposit.

  • Obtains insurance authorizations and/or verifies that prior authorization has been obtained; coordinate peer to peer discussions, assist with retroactive insurance denials/appeals.

  • Responsible for complex EMR/EHR transcribing, scanning, Right Fax faxing and uploading to EPIC with high level of accuracy

  • Ensures all external records, images and pathology slides are delivered and able to be prepped prior to multispecialty visit/conference/tumor board according to the needs of unique clinics. Ensure all necessary pre-visit diagnostic tests are scheduled and completed prior to multispecialty visit/conference/tumor board according to the needs of unique clinics. Ensure initial treatment planning orders and referrals are scheduled or in process.

  • Oversee and assist the running of coordinated sometimes concurrent multi-provider tumor board conferences in cooperation with other internal/external provider schedules by performing administrative functions, including, but not limited to: maintaining up to date distribution lists for multiple MST clinics and tumor boards Communicate upcoming patient lists and provider schedules according to stated deadlines that are unique to each multispecialty visit/conference/tumor board; scheduling patients to appropriate tumor board, set up and serve as Telemedicine Coordinator to ensure that the room is prepared, audiovisual and teleconferencing equipment is operational. Trouble shoot equipment problems as needed. Attend the multidisciplinary conferences and monitor AJCC staging, treatment plan, treatment protocols, and/or recurrence information.

  • Manage complex phone triage for several unique clinics and be an access point liaison for the non-cancer service lines to ensure provider referrals are directed appropriately and timely as well as for the general public via the cancer hotline for patients with new diagnosis, 2nd opinion, or cancer department navigation on behalf of the entire cancer service line

  • Knowledge and ability to provide technical support to patients and providers with virtual portals applications and equipment to ensure successful telemed and virtual home specialty visits

Qualifications

Required

  • Associate's Degree or equivalent

  • 2 years of relevant experience Health access management, electronic health record management, procedure, imaging referral and scheduling, or other related experience.
