Events and Trade Show Manager

MCS is seeking a DFW-based, experienced and results-driven Events and Trade Show Manager to lead the planning, execution, and post-event analysis of high-impact trade shows, conferences, client events, and employee engagements. This position plays a pivotal role in driving brand visibility, lead generation, customer retention, and internal engagement through strategic events that align with business goals.

This is not just a logistics role-we're looking for a true marketer who understands how events integrate into the broader marketing strategy. The ideal candidate is both a strategic thinker and a tactical executor, with hands-on expertise in HubSpot and Salesforce for lead management, reporting, and ROI analysis.

As a member of the Marketing team, the Events Manager is responsible for coordinating and supporting events that promote the company's diverse service offerings, drives lead generation and expands brand recognition. Works collaboratively across multiple business lines to create and enhance relationships with clients and prospects.

Essential Duties & Responsibilities:

Event Strategy & Planning

  • Lead the annual event strategy in collaboration with Marketing and Sales leadership, selecting trade shows and events based on ROI and strategic alignment.
  • Research and recommend new event opportunities to support business line objectives.
  • Maintain and manage a central event calendar and database of key events and sponsorships.

Event Coordination & Logistics

  • Coordinate all event logistics from end-to-end including registration, travel, venue selection, transportation, catering, signage, exhibit setup, food & beverage, client outreach, and on-site staffing.
  • Manage materials preparation such as RSVP lists, name badges, seating cards, gift bags, marketing collateral, and shipping for offsite events.
  • Serve as the primary contact with venues, vendors, hotels, industry associations, and exhibit contractors-negotiating contracts and agenda and ensuring all deliverables align with brand standards and budgets.
  • Provide hands-on, on-site support at key events to ensure smooth execution and brand presence (8-10 major events/year).

Marketing Integration & Lead Management

  • Develop and implement pre- and post-show marketing campaigns in collaboration with the broader marketing team.
  • Use HubSpot and Salesforce to manage RSVP workflows, upload and track leads, assign follow-up actions, and ensure seamless data capture.
  • Coordinate post-event follow-up processes, including lead handoffs to sales and ongoing marketing campaign integration.

Performance Tracking & ROI Analysis

  • Define and track event KPIs such as CPL, MQLs, SQLs, opportunities created, and revenue influenced.
  • Conduct post-event briefings, budget reconciliation, and ROI reporting to evaluate impact and recommend future improvements.
  • Analyze event effectiveness and ensure alignment with marketing and business goals.

Budget & Vendor Management

  • Establish and monitor budgets for each event and ensure spend aligns with allocations.
  • Manage vendor relationships, including designers, exhibit vendors, promotional suppliers, and shipping/logistics companies.
  • Maintain quality and consistency of brand representation across all event deliverables.

Cross-Functional Collaboration

  • Work closely with Sales to align events with go-to-market strategies and lead follow-up.
  • Coordinate with HR and Employee Engagement teams to manage internal employee events such as the annual Fall Appreciation event and quarterly volunteer activities.
  • Support the annual client gift-giving initiative in partnership with Sales and Executive Leadership.
  • Manage MCS's "Company Store" and promotional merchandise program.

Competencies:
  • 5-8 years of experience in B2B event and trade show marketing.
  • Bachelor's degree in Marketing, Business, Communications, or related field.
  • Proven success in managing complex event programs across multiple audiences (clients, prospects, employees)
  • Hands-on experience with using a CRM for event tracking, lead management, and reporting (preferably: Hubspot and Salesforce)
  • Strong understanding of marketing performance metrics (CPL, MQL, SQL, influenced revenue)
  • Excellent project management and organizational skills.
  • Polished interpersonal and communication abilities-confident interacting with senior leaders, customers, and partners.
  • Self-starter who can manage multiple projects independently in a fast-paced environment.
  • Willingness to travel for event execution and on-site support (approximately 8-10 events per year)
  • Ability to work in a remote, flexible and production-orientated environment.
  • Advanced knowledge of Microsoft Office.
  • Ability to function effectively in a fast-paced environment and adapt to change.
  • Strong attention to detail.
Education and Experience:

Education: Four-year degree in Marketing, Event Planning, Public Relations or equivalent work experience in a similar environment.

Experience: 5-8 years of experience in B2B event and trade show coordination (as an exhibitor, not host), with strong project management skills and proficiency in marketing analysis.

Experience with HubSpot, Salesforce, Canva and Monday.com preferred.

Location: Candidates must be based in the Dallas-Fort Worth Metroplex.
