Job Description
JOB OBJECTIVE: Responsible for the organization of Life Sciences events, meetings, and tradeshow projects. Assists in developing and implementing tactics that increase the ability to nurture relationships and create engagement at meetings, events, and tradeshows.
CORE DUTIES:
Event management 1. Lead the planning, coordination and execution of Life Sciences team meetings, customer workshops, tradeshows, and other related events. Works closely with team members and Marketing Services to produce Life Science events.
2. Act as a primary point of contact for internal stakeholders and contributors for Life Sciences tradeshows, meetings, and events.
3. Coordinate logistics for Promega booth/presence, promotional and tactical strategy, staff attendance and communications for Life Sciences global meetings.
4. Establish timelines, identify milestones, and assign tasks to other support staff. Communicate deadlines, deliverables, and reports on each event. Monitor progress and adjust timelines, as necessary.
5. Develops budgets for all events. Maintains records of income and expenses. Compares budgeted amount to actual expenses/revenue. Oversees the trackingand review of budget line items.
6. Responsible for securing hotel blocks when applicable and communicating details with Promega attendees. Work closely with Promega Travel Department to manage deadlines and rooms within block.
7. Assist with the development of meeting or event content, handouts, evaluation tools, proceedings, etc., focusing on best practices for events and maintaining Promega branding and style guidelines.
8. Responsible for providing details to Marketing Services to ensure necessary content and graphics are produced related to desired goals and metrics. Provide assistance with content drafts and coordinate copy needs for print projects.
9. Support the development and evolution of Promega's tradeshow and customer event strategy
10. Act as primary point of contact regarding any additional tradeshow activities such as workshops, podium presentations or customer events. Coordination includes promotion of event, AV requirements, refreshments, registration, etc.
11. Participates in Life Sciences team planning discussions on tradeshow/event strategies, scientific poster presentations, client-facing communications on events/tradeshows, etc.
12. Research and benchmark successful new tradeshow/event trends and strategies. Works with other team members to keep apprised of the latest industry standards.
13. Provide project support by efficiently managing the workflow and timeline needs for the development of Life Sciences events collateral. Monitor the progress of projects to ensure timely completion.

KEY QUALIFICATIONS:
1. Bachelor's Degree in Business, Communications, Public Relations or Marketing - OR equivalent work experience.
2. Proven ability to work effectively across cross-functional teams; demonstrates interpersonal and problem resolution capabilities. Exemplifies leadership and team player mindset. High attention to detail.
3. Minimum 5-7 years' experience in meetings planning/coordination for meetings with greater than 250 attendees and 3 years managing and/or developing marketing communications projects.
4. Strong organizational, logistical, negotiating and project management skills required. Demonstrated ability to independently manage and successfully execute multiple detailed projects and assignments, including managing budgets.
5. Good listening skills. Collects information and considers multiple perspectives.
PREFERRED QUALIFICATIONS:
1. Experience in meeting planning and trade show/conference coordination and execution. 2. Professional development as evidenced by professional designation as a Certified Meeting Planner (CMP).
PHYSICAL DEMANDS: 1. Ability to use computer equipment to include Microsoft Office applications.
2. Ability to transport items between buildings. Ability to lift to 40 lbs.
