Job Description
The Document Control Specialist is responsible for receiving, reviewing, tracing, accepting/rejecting FSQA documentation at the Collins plant. Scope includes but is not limited to Quality Assurance, Quality Control, Regulatory Certifications, R&D, Document Management Systems, off-line processes, and hard-copy methods. The position reports to the Quality Assurance and Compliance Manager. Primary duties include:
- Revise, review, and write policies, standard operational procedures, one point lessons, and product/packaging specifications for the different departments as needed, or at least once a year for the annual review process as required by regulatory requirements.
- Collect, maintain, and distribute controlled documents necessary to maintain conformance to specification and regulatory requirements.
- Review documents for completeness, store in designated systems, route as appropriate, and distribute within the established legal guidelines and internal standards to ensure the production of the highest quality products in the safest and most efficient manner.
- Work cross-functionally and interact extensively with Quality, Operations, Maintenance, and R&D
- Ensure and maintain document accuracy, quality, integrity, and transparency
- Oversee annual archiving of documents from all departments, ensuring proper labeling and transport to designated areas in a safe and timely manner
- Manage and execute training to ensure adherence to the most current version of policies and procedures, including documentation.
- Conduct internal auditing of documentation to validate document control compliance
- Perform other duties as assigned.
Qualification
Qualifications include:
- 2 -- 5 years' experience in a quality assurance role in food/personal care/pharmaceutical manufacturing environment; organic and/or natural foods experience a plus.
- 2 - 5 years' experience working with a comprehensive document control system. Creating, developing & writing procedures, checklist & forms in a food manufacturing plant.
- Solid working knowledge and advanced skills in Word, Excel, Outlook, PowerPoint, and/or supplier management related databases, and internet search.
- Bachelor's degree in Food Science, Business Administration, or similar field or 3+ years demonstrated skills in the food or pharmaceutical industry with supported formal training, or equivalent combination of education and experience
- 2 - 5 years direct training and experience in Trace Gains, safefood360, or other food safety & quality management software, Familiarity with FDA (Food & Drug Administration), GFSI (Global Food Safety Initiative), SQF (Safe Quality Food), ISO and USDA regulations,
- HACCP (Hazard Analysis and Critical Control Points), and SQF or related quality standards.
- Quality Control/Document Creation Experience
- Microsoft Office skills should be at an intermediate level
- Interpersonal and Organizational Skills
- Data Entry Capabilities & Computer Literacy (Office 365: Excel, Word, Power Point)
- Detailed Oriented
- Bilingual (Preferred)
