Job Overview
The incumbent provides support to the MacDill AFB Project Manager with office management responsibilities. This Operations Specialist is required to work independently on project requiring research and preparation and briefing charts and other presentation materials in support of contract operations. Work Model: Onsite
Responsibilities
Essential Duties & Job Functions:
- Support program planning, execution strategy, contract changes and capture activities.
- Provide support across the project site portfolio; to include travel and reimbursement.
- Ensure delivery of required contractual items and completion of USG taskers and suspense's.
- Prepare reports, memos, letters and other communications about matters and general office policies on own initiative.
- Responsible for the overall accomplishment of DSIs (Database Support Initiative) contractual obligations to the customer at this project location under the guidance of the Project Manager.
- Responsible under the direction of the Project Manager for the proper supervision, administration, and oversight of the project, including complete financial management.
- Aid in sponsoring visitors (contractors, subcontractors, interviewees, employees on travel, etc.) on MacDill base when needed.
- Manage all mailing accounts (FedEx, etc.) for the project site and orders for office supplies.
- Use judgment and initiative to determine approach or action to take in non-routine situations.
- Interpret and adapt guidelines, including unwritten polices, precedents, and practices.
- Anticipate and prepare materials needed by supervisor for conferences, correspondence, appointments, meetings, or telephone calls and inform supervisor on matters to be considered.
- Read publications, regulations, and directives and take action or refer those that are essential to the supervisor or staff.
- Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general direction.
- Assist's HR department with administrative tasks that may arise including but not limited to staffing initiatives, employee engagement initiatives, file maintenance, org. chart and security roster list.
- Other duties as assigned.
Job Requirements
Mandatory:
- High School Diploma or equivalent.
- Bachelor's degree in business management or;
- Six (6) years of relevant experience.
- Must have intermediate-level experience using Microsoft Office applications.
- Ability to acquire and maintain government identification/common access card.
- Ability to deal with a variety of people in a professional, courteous manner in diversified situations.
- Valid state Driver's License with acceptable driving record pertinent to the position.
- Ability to successfully pass any background checks and/or drug testing required on the contract.
- Ability to obtain and maintain a secret clearance.
- Ability to obtain access to U.S. Government Installations through the Defense Biometric Identification System (DBIDS).
