Duties and Responsibilities |
Key Responsibilities:
- Provide comprehensive administrative support to the Chair of DME and Director of CME, including meeting coordination, communication, and project management.
- Manage scheduling, correspondence, and documentation for DME meetings and initiatives.
- Support DME and CME leadership in achieving strategic goals, maintaining compliance with Accreditation Council for Continuing Medical Education (ACCME) standards.
Operational & Procedural Support: (25% = 15% DME, 10% CME)
- Maintain DME website and faculty files; assist with academic appointments per Committee on Academic Rank and Tenure (CART) guidelines.
- Track faculty activity in the Faculty Information System (FIS) and support reporting on initiatives in faculty development, curriculum, research, and service.
- Assist DME faculty with educational research and manage research databases (e.g., REDCap, SPSS).
- Ensure CME programs comply with ACCME and institutional policies; support accreditation reporting and site visits.
Event & Course Management: (40% = 20% DME, 20% CME)
- Plan and execute DME faculty development workshops and CME-accredited courses.
- Coordinate logistics including venues, materials, agendas, communications, surveys, and post-event analytics.
- Advise faculty and external partners on CME compliance, budgeting, and course implementation.
Financial Administration: (15% = 10% DME, 5% CME)
- Prepare and reconcile DME financial documents and ProCard purchases.
- Assist in budget planning and expense troubleshooting for both DME and CME programs.
Technology & Innovation: (20% = 15% DME, 5% CME)
- Support online platforms, streaming, video editing, and learning management systems (e.g., CME Tracker, PARS).
- Manage technology for electives, journal clubs, and mentoring programs; maintain CME and DME social media accounts.
- Provide technical support and act as liaison for platform-related issues.
- Supported promotional outreach and managed social media presence for CME and DME initiatives.
Performs other duties as assigned. |
Minimum Education and/or Work Experience |
Bachelor's Degree in related field and at least two to three years of related experience preferred. Additional education or experience may be required by department program. |
Qualifications |
Education Requirements:Bachelor's Degree from an Accredited Degree Program.
Required: At least 2-4 years' experience in higher education. Excellent communication, strong interpersonal skills, detail-oriented with an ability to multi-task, and document editing skills.
Strongly Preferred: The 2-4 years of higher education experience come in the form of Medical Education related to Administration, Educational Technology, Learning Management Systems and Program Coordination.
Preferred: Experience in continuing education,
ACCME Accreditation Standards, and
CME Tracker Learning Management Procedures. |

Computer Skills |
- Must be proficient in the use of common office software (including MS Word, MS Excel, MS PowerPoint, MS Outlook, Adobe Acrobat, an internet browser),
- Quickly learn how to use specialized university systems, procedures, and forms needed for the job (e.g. purchase requisitions and other applications as needed).
- Working knowledge of Sakai, Zoom and Panopto is preferred as is routine database maintenance skills for learning management systems.
