Job Summary (includes but is not limited to the following, other duties may be assigned) Responsible for highly complex administrative/clerical functions for the Calpine Community Energy (CCE) management team. Job Responsibilities
- Provides direct support to CCA Management Team as needed:
- Manages daily calendar items, identifies and resolves conflicts and reviews or updates as needed.
- Reviews and resolves conference room conflicts.
- Manages conference calls and meetings in conference rooms.
- Keeps assigned executive(s) on task.
- Provides phone or email coverage if needed.
- Works with facilities to order food for lunch meetings.
- Assists, organizes, or leads team morale boosters whether in person or via Teams.
- Ensures rooms are reserved for clients and large group meetings.
- Plans or schedules own work.
- Coordinates and/or takes lead responsibility on special projects.
- Collaborates with broader Calpine administrative group
- Uses business applications software and peripherals equipment (e.g., complex databases, advances presentation graphics, detailed spreadsheets using original formulas, operates copy machines, etc.)
- Researches and compiles information and data for analysis.
- Reconciles various reports for data and calculation accuracy.
- Reviews written material for accuracy and completeness.
- May process invoices, expense reports, and other financial records.
- Assists with travel arrangements, including conference registration, booking flights/hotels/car rentals, etc.
- Submits expense reports in a timely manner to avoid any late payments,
- Acts as a liaison between Accounts Payable and supported employees.
- Coordinates on/offsite team building events.
- Plans and executes celebrations such as birthdays, showers, holidays, bereavement, etc.
- Works with facilities to book room rentals, meeting set up, order office/kitchen supplies, fob tracking, building requests, parking, ordering and organizing promotional and booth items.
- Maintains record of seating and organizational charts for CCE.
- Assists with planning of large-scale desk moves.
- Manage daily administrative requests such as FedEx shipping and tracking, check and PO requests, etc.
- Utilizes Outlook to manage calendars, book meetings, clear conflicts, reschedule, and provide availability for teams and management as needed.

- Bilingual is a plus but not required

- Proficient with keyboard shortcuts
- Proficient with calendars, scheduling, PowerPoint presentations
Job Requirements
- High school diploma. College courses/vocational training desired.
- 5+ years' experience.
- Demonstrated knowledge of business application software including spreadsheets, databases and word processing.
- Must be able to operate a computer and peripheral equipment for word processing. Must possess intermediate math skills and be able to operate a calculator.
- Excellent oral and written communications skills required.
- Sitting and standing for long periods of time
- Work with Accounts Payable to ensure accurate and timely processing of expense reports
Salary Information - Position eligible for annual bonus. Hourly pay $23.51 - $32.91 Additional Calpine Information
