Description

This position provides direct administrative support to several faculty (herein referred to as "principal(s)" for the Neuroscience Institute (NSI), Department of Neurology. Additionally, this position provides backup for other Office Support Specialists.


Examples of Duties

ADMINISTRATIVE (85%)
l. Establishes, coordinates, and maintains administrative calendars for the principal(s). Notifies appropriate personnel of deadlines and conflicts in schedules, prepares necessary materials, and exercises initiative to make changes as needed.
2. Screens incoming calls, relieving the principal(s) of numerous personal contacts. Uses good judgment to determine confidential nature of calls, documents pertinent information, and forwards to appropriate principal(s)/personnel.
3. Composes routine correspondence, memos, reports, and other communications for the principal(s), and for other faculty and staff, which includes, but is not limited to, dictation, letters, memos, reports, and items of confidential nature relative to the Department.
4. Establishes, plans, and coordinates travel arrangements for faculty, including itineraries, airline, hotel accommodations, and processes travel reimbursement. Prepares conference, seminar registrations and submits for payment processing.
5. Arrange and coordinates standing and special purpose committee meetings as directed, gathers and publishes agenda, secures and confirms space and seating arrangements, and schedules catering when necessary. Prepares and distributes handout materials.
6. Receives, sorts, and distributes mail, and shipments.
7. Maintains and stores sensitive information for the principal(s).
8. Assists with training of new office support staff members.
9. Provides coverage and assistance to other Office Support Specialists when needed.

CLINICAL DUTIES (15%)
1. Coordinates with reception and clinic personnel the cancelling and rescheduling of clinics when necessary. Ensuring they are made aware of all absences and coverage of all duties (including coverage of resident clinics).
2. Work in conjunction with Study Coordinator(s) to schedule patients in accordance with Study guidelines with regards to specific date "windows" within the study.

MISCELLANEOUS (5%}
Performs miscellaneous clerical tasks associated with the NSI-Neurology, or as assigned by the NSI Neurology
Office Administrator.


Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling two (2) years (24 months) from the categories below:
    1. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Work experience performing office/clerical activities, including the use of computer systems.
  3. One (1) year (12 months) of work experience comparable to the second level of this series.
