POSITION SUMMARY

This position will provide a wide variety of support for our Las Vegas Innovation Center including but not limited to front desk administrative duties (greeting clients, name badge management, and answering phones); security duties; general office administrative support (copying, data entry, filing); hospitality (meeting coordination and setup); supply management; and CSR Support team.

ESSENTIAL JOB FUNCTIONS

1. Perform all front desk administrative duties including but not limited to field incoming calls and direct them appropriately, greet all incoming visitors at our Las Vegas location, and ensure proper procedures for front reception area are documented and followed.

2. Perform security duties including but not limited to ensure proper sign in procedures are followed including physical guest book sign in and out procedures are completed, and appropriate badge and escorts are provided for Las Vegas location.

3. Provide general office administrative support for management and team members in the Las Vegas location including but not limited to data entry, copying, filing, faxing, and mail distribution.

4. Work with management to ensure all hosted events are successful including: providing hospitality support by ensuring proper inventory of snacks and beverages, coordinating catering efforts with administration team, working with catering vendor on event days to ensure they are setup and ready, assist with cleaning up facility following events, coordination of appropriate attire with Las Vegas teammates and proper building setup for guests, help provide and coordinate travel for visitors to and from the office, local hotels, and the airport.

5. Work with the Las Vegas Management team and facilities team to provide backup for general office maintenance and supply management including inventory analysis, supply ordering, and supply/delivery maintenance.

6. Work with the Client Services & Education management team to assist with incoming client requests as it relates to our software and product offerings including but not limited to loading client interactions in ticketing system.

7. Perform additional duties as assigned to support organizational goals and evolving business needs.

JOB QUALIFICATIONS

1. High School graduate, GED, or equivalent work experience is required. Equivalent work experience equal to 1-2 years of prior office experience with a focus in administration or customer service.

2. One to three years administrative experience is preferred.

3. Proficient in Microsoft Office applications (Outlook, Word, Excel, and PowerPoint).

4. Prior experience answering a multi-line phone system.

5. Excellent organizational skills

6. Ability to effectively handle multiple priorities and meet deadlines.

7. Ability to take initiative and work independently.

8. Ability to maintain and present a positive and happy attitude.

9. Excellent verbal and written communication skills.

10. Ability to deal with external clients as well as internal staff.

11. Excellent attention to detail and accuracy.

12. Ability to use discretion when dealing with sensitive or confidential data.

13. Ability to work effectively with other CU*Answers teams.

14. Ability to operate telephone, photocopier, fax machines and PC workstation.

15. Regular and predictable attendance.
